About the role:

The Administrative Officer, Finance is responsible for providing quality administrative and clerical support to the Finance function and serves as the first point of contact for staff requiring assistance from Finance and Fleet enquiries.

The Administration Officer, Finance is supervised by the Finance Manager and has no supervisory responsibilities.

This position works closely with other members of the finance team and maintains regular contact with other program staff to ensure effective outcomes for clients.

Key responsibilities:

  1. Monitor the Finance function email inboxes and respond to, action requests, or appropriately escalate enquiries in a timely manner.
  2. Be responsible for accurate and timely administration of the organisation’s petty cash and client brokerage voucher system, including the issuing of funds, maintaining records, processing transactions, and preparing reconciliations for review.
  3. Assist Senior Payroll and Finance Officer in the coordination of the fleet function as directed, including assisting with fleet vehicle bookings and enquiries, onboarding new staff to systems and processes, coordinating vehicle cleans, maintaining car packs and daily inspections of the fleet station and vehicles.
  4. Coordinate corporate travel arrangements for staff, including booking flights, accommodation and transport, preparing travel documentation, and processing travel allowance documentation in accordance with organisational procedures.
  5. Maintain office and storeroom supplies, including monitoring stock levels, undertaking stock takes, ordering supplies, receiving deliveries and ensuring storage areas remain organised and adequately stocked.
  6. Provide administrative and clerical support to the Finance team, including maintaining electronic and physical records, scanning, filing and uploading saved documents.
  7. Assist the Finance team with routine financial administration activities, including data entry, transaction processing, maintaining supporting documentation and undertaking other administrative tasks as directed.
  8. Carry out projects and tasks under the supervision and guidance of more senior members of the Finance team.
  9. Gather and record statistical data relevant to measuring performance against agreed indicators and participate in review and evaluation activities.
  10. Participate in organisational and community activities to advance the health and wellbeing of Aboriginal and Torres Strait Islander people.
  11. Work within Wuchopperen’s Policies and Procedures including the Staff Code of Conduct and the Work Health and Safety requirements and contribute to continuous improvement processes to ensure compliance with relevant standards and safe, effective service delivery.
  12. Other duties as required, within your skills, experience and capacity.

  • Knowledge and understanding of Aboriginal and Torres Strait Islander societies and cultures from an historical and contemporary perspective, including the ability to communicate effectively and sensitively with Aboriginal and Torres Strait Islander people.
  • Good organisational, time management and attention to detail skills, with the ability to prioritise tasks, meet deadlines and maintain a high level of accuracy.
  • Extensively developed interpersonal and communication skills including the ability to liaise with a range of stakeholders as well as effectively advocate for Aboriginal and Torres Strait Islander people.
  • Demonstrated ability to work independently and in a multi-disciplinary team environment, prioritise and meet deadlines, deal with matters of a sensitive and confidential nature.
  • Demonstrated ability to meet and work within the core values and behaviours of Wuchopperen.

Qualifications and experience:

  • Experience in a similar role highly regarded
  • Proficiency in or willingness to learn the use of Microsoft Office Suite, especially Word, Excel and Outlook.

Requirements:

  • Hold a current Blue Card (for suitability to work with children and young people).
  • Proof of qualifications is required to be provided prior to the commencement of duty.
  • Possess a current driver’s licence.
  • A commitment to adhere to Wuchopperen’s policies and procedures.
