Summary of the role:

We are on the lookout for a passionate and dynamic individual to join our team as a Landside Coordinator, this role will ensure smooth running of VICT Landside Operations, working collaboratively within a high performing team to assist in the management of our Vehicle Booking System (VBS). Your work will directly contribute to ensure that VICT continues to provide the highest possible standard of service to our customers.

The successful candidate will join the existing Landside team of four and work a rotating roster consisting of five 8-hour shifts per week, with start times of 6am, 8am, 10am and 1pm, including one weekend in every four which is worked from 6am-2pm, approved work from home shifts on the weekend may be available in consultation with the Landside Manager. Following onboarding and once competency in the role has been achieved, the successful candidate will also be required to participate in an on-call roster to provide out-of-hours support, with an allowance paid accordingly. This position offers a competitive annual base salary of $96,407 plus superannuation

Key Responsibilities:

  • Setup and application of daily/weekly time slot allocation to the transport community.
  • Provide a point of contact for all VBS and Transport Enquiries.
  • Monitor the hourly performance and adjust slot availability as required.
  • Orchestrate bulk Stack Runs to minimise impact on landside performance.
  • Coordinate and communicate Equipment/System maintenance and Outages.
  • Maintain clear communication via VBS Notices to inform Transport Companies of any delays or relevant terminal information.
  • Liaise with Customs to manage XRAY Runs and inventory
  • Troubleshooting and escalation to 1-Stop helpdesk of any messaging issues affecting bookings in the VBS.
  • Assist Customer Service and Support team with Customer Requests
  • Quote for and coordinate the delivery of Out of Gauge and non-standard lifts
  • Administering all Direct Return Empty roll over at request of shipping lines
  • Troubleshoot and escalate EDI issues for Shipping lines
  • Administer free storage periods and adjust cut offs as agreed with planning team
  • Sanitation of billable events prior to weekly invoicing
  • Transport billing queries (investigation and resolution)
  • Develop and maintain effective relationships with clients and stakeholders
  • Planning/staging of containers prior to delivery

Desired Skills and Experience:

  • Effective oral and written communication skills, including report writing.
  • Ability to provide leadership, obtain cooperation and/or support from other team members and clients to meet objectives.
  • Excellent customer service skills.
  • Ability to effectively analyse performance data.
  • Utilise standard industry computer packages such as the Microsoft suite.
  • Knowledge and experience in the terminal, vessel, yard planning, transport and control systems.
  • Background in Logistics preferred.
