Job title: Administrator

Salary: £25k to £27K (Dependent upon experience)

Type of Contract: Permanent

Hours: 9.00am to 17:00pm, Monday to Friday

Location: Southampton (office based), with occasional working in our Dorset office. There could be the need to travel to our other regions on a rare occasion for events. (PBS4 operates in Hampshire, Dorset, Berkshire, Oxfordshire, Somerset and the Isle Of Wight)

About the role:

Your responsibility as an Administrator is to support the Office Manager in ensuring all administrative tasks are complete in line with the requirements from the various teams across the organisation, including but not limited to our clinical, operations and training teams.

Duties will involve:

• Answering the phones/door

• Meeting and greeting the people we support, guests, family members, commissioners, delivery

drivers and PBS4 employees.

• Setting up rooms for meetings/training.

• Opening and closing the office, alongside the Office Manager.

• Stock control.

• Report building and data manipulation.

• Audits – supporting with clinical, operational, and health & safety audits.

• Setting up coffee mornings.

• Activating sim cards, setting up laptops and maintaining the IT device log.

• Provide and analyse data required for Senior Management, Operational or Clinical reports.

• Attend meetings on behalf of the office manager when required.

• Perform general administrative tasks such as data gathering, filing, document and database

management.

• Manage online filing systems.

As a Administrator, you will need to:

• Have good systems experience including Office 365/SharePoint, with Employment Hero and

Nourish being advantageous, although not essential.

• Have a good level of experience having used Microsoft products including but not limited to

Word, PowerPoint and Excel.

• Have the ability to work independently with minimal supervision.

• Have the ability to maintain confidentiality.

• Have exceptional organisational skills with the ability to prioritise tasks effectively.

PBS4 is a values led social care organisation, providing Neurodisability Services to individuals with Learning Disabilities, Autism and/or behaviours that may challenge. We support people living in their own homes, with their own tenancies, and we utilise Positive Behaviour Support as the framework for the support we provide.

Our approach is underpinned by Positive Behaviour Support. Positive Behaviour Support is an approach mostly used to support people with learning disabilities whose behaviours challenge others. The goal is to shift the focus away from reducing challenging behaviour to understanding what that behaviour means and supporting people to get what they need better.
