Our work is centered on ensuring the effective delivery of sustainable, professional, and high-quality Regional Maintenance Provider (RMP) services, in support of the Australian Defence Force’s operational readiness and capability outcomes across Northern Australia.

THE ROLE

Each vessel maintenance project is delivered by a dedicated team of three. As the Project Support Officer, you will be the person who keeps the project running smoothly—ensuring information is accurate, actions are followed through, and the team has what it needs to deliver successful outcomes.

This is a busy and varied role where priorities can shift quickly. Success will come from your ability to stay organised, maintain attention to detail, and proactively follow up outstanding actions before they impact project delivery. You will play a key role in keeping project information current, coordinating stakeholders and ensuring important commitments don’t fall through the cracks.

A significant part of the role involves working closely with contractors who perform the majority of our maintenance work. You will regularly follow up quotations, progress updates, documentation and close-out requirements, while identifying and escalating potential delays or issues before they become problems.

  • Maintain accurate and up-to-date project records, registers and documentation.
  • Monitor project actions and ensure they are progressed through to completion.
  • Manage project information within monday.com and other business systems.
  • Coordinate job packs, drawings, work instructions and contractor submissions.
  • Track Objective Quality Evidence (OQE) and support project close-out activities.
  • Prepare meeting minutes, reports and project status updates.
  • Liaise with Maintenance, Engineering, Supply, Finance and Commercial teams to support project delivery.
  • Identify opportunities to improve processes, information management and team effectiveness.

This role would suit someone who enjoys being organised, takes pride in accuracy, follows through on commitments, and isn’t afraid to chase information or ask questions when something doesn’t look right.

ABOUT YOU

We are looking for an experienced administrator who is highly organised, proactive and comfortable taking ownership of their work.

In this role, you’ll need to be confident following up contractors and stakeholders, managing competing priorities and navigating the unexpected challenges that come with vessel maintenance projects. You will take pride in staying on top of the detail, keeping work moving and ensuring important actions are followed through to completion.

WHAT YOU WILL BRING

  • Exceptional attention to detail and a commitment to accuracy.
  • Strong organisational skills and the ability to follow tasks through to completion.
  • The confidence to engage with contractors and stakeholders, and the persistence to ensure commitments are met.
  • A proactive approach and willingness to take ownership of outcomes.
  • An interest in digital systems and a willingness to learn new tools and ways of working.
  • Sound skills across the Microsoft Office suite.
  • Strong written and verbal communication skills.
  • The ability to remain adaptable and effective when priorities change.

Experience in project support, senior administration, accounts, warehousing, logistics, commercial support, or another fast-paced operational environment will be highly regarded. Previous Defence or maritime experience is advantageous, but not essential.

More important than industry experience, we are looking for an outstanding administrator who enjoys responsibility, learns quickly, and takes pride in helping a small team deliver safe, seaworthy vessels to support the Royal Australian Navy.

 

NOTE: As a condition of this role, you must be able to obtain (and hold) Baseline Defence security clearance, which requires Australian Citizenship. A National Police Check will also be undertaken.
