Purchasing & Warehouse Officer

As we continue to expand, we are looking for a highly motivated and detail-oriented Inventory Control Clerk to join our Warehousing Operations team. This is an exciting opportunity to work in a dynamic, fast-growing industry where you can build a long-term career.

About the Role

Reporting to the Production Manager the Warehouse Officer will be responsible for compliant procurement and the safe, secure and accurate receipt, storage, inventory control and dispatch of materials and services in a GMP, TGA and GACP regulated environment. The role ensures materials are sourced from approved suppliers, handled and stored correctly, and made available to operations without compromising quality, traceability, data integrity or regulatory compliance.

The role operates within the site Pharmaceutical Quality System and regulatory approvals, working closely with Quality Assurance while not assuming Quality authority unless formally delegated. It supports both cultivation and GMP operations as required.

 

Key Responsibilities:

  • Source and procure materials and services from approved or QA-qualified suppliers, ensuring full compliance with quality and regulatory requirements.
  • Maintain supplier documentation, agreements, performance reviews, risk assessments, and approved supplier lists in line with site procedures.
  • Evaluate suppliers based on total cost, quality, service, risk, and continuity of supply, without compromising specifications or compliance.
  • Develop and maintain continuity plans for critical materials, including alternate suppliers, safety stock, and disruption mitigation.
  • Coordinate third-party logistics and outsourced services through approved written agreements.
  • Maintain accurate, real-time inventory records, ensuring correct identification, status, batch/lot traceability, and location at all times.
  • Ensure correct receipting, labelling, storage, quarantine, release, rejection, and secure handling of all materials.
  • Apply FIFO/FEFO controls, monitor shelf life and obsolescence risks, and oversee cycle counts, stocktakes, audits, and discrepancy resolution.
  • Ensure all transactions are accurately recorded in approved systems, maintaining full system-based traceability and data integrity.
  • Support quality, recall readiness, risk management, and positive company culture through clear communication, compliance, and active participation in leadership and development activities.

What we’re looking for…

Skills & Experience:

  • Knowledge of inventory management software and stock control principles.
  • Prior experience working in a warehousing or manufacturing environment.
  • Practical understanding of procurement and purchasing processes.
  • Good analytical and logistical thinking abilities.
  • High attention to detail and strong record-keeping discipline.
  • Strong written and verbal communication skills.
  • Excellent time management and organisational skills.
  • Intermediate to advanced Microsoft Office skills (Word, Excel, PowerPoint).
  • Ability to interpret procedures, specifications, status controls and traceability requirements and apply them consistently in day-to-day operations.
  • Must be able to comply with all laws, regulations and policies associated with the industry.

Requirements:

Must have a valid open driver’s licence and valid forklift licence.

  • Strong work ethic and reliability
  • Willingness to learn new skills and follow Standard Operating Procedures (SOPs)
  • Must have a Federal Police Check with a ‘non-disclosure’ outcome, as well as maintain a ‘non-disclosure’ outcome throughout employment term. Police checks are required every two (2) years
  • Must have successfully completed a medical assessment.
  • Ability to complete mandatory induction, GMP, safety, security and role-specific training requirements.
