settlements professional to grow with us. This is an exciting opportunity for someone ready to take ownership of the settlement process end-to-end — coordinating with clients, lenders, conveyancers, and internal teams to deliver a seamless experience at the finish line. You’ll sharpen your skills across real, complex transactions and build toward a senior role in a high-performing team.

Key Responsibilities
1. Building Great Client Relationships
You will be a key point of contact for clients during one of the most important moments in their financial journey, ensuring they feel informed, supported, and confident throughout the
settlement process:

Proactive Communication — Keep clients informed at every stage of the settlement process — no one should ever need to chase you for an update. Set clear expectations early and deliver on them consistently.

Client Confidence & Education — Walk clients through the signing process, loan documents, and next steps in plain language, helping them feel empowered and in control rather than overwhelmed.

Responsiveness & Follow-Through — Respond to client queries promptly and close the loop on every outstanding item. Clients notice when someone goes the extra mile to get things done.

Empathy & Professionalism — Recognise that settlements can be stressful for clients and approach every interaction with patience, care, and a solutions-focused mindset — even when things don’t go to plan.
2. Settlements
You will play an active role in the end-to-end settlement lifecycle, ensuring accuracy, compliance, and strong client outcomes:

Loan Document Review — Take ownership of
validating names, security, rates, fees, and lender conditions before the
client sees anything.
- Client Engagement & Signing — Conduct daily follow-up, walking the client through the signing process, chasing Certificate of Currency and Discharge Authority, and completing a thorough completeness check before submission.

Settlement Booking & Coordination — Push the lender for the earliest available settlement date, coordinate with solicitor/conveyancer and outgoing lender, and keep HubSpot updated throughout.

Post-Settlement Handover — Notify the Broker and Aftercare team, update the deal stage, and upload all settlement documentation.

Client Feedback — Solicit client feedback and
NPS scores to drive key insights that support operational improvements across
the business.
3. Team Contribution & Process Excellence
You will contribute to a collaborative, high-quality settlements operation as you grow within the team:

Collaboration & Learning: Actively participate in team discussions on lender requirements and client communication, sharing insights from your file experience.

Settlement Expertise: Apply sound judgement and attention to detail across your settlements files, escalating complex scenarios to senior staff where appropriate.

Problem-Solving: Flag settlement risks or delays early and engage constructively with senior team members to work through solutions.

Risk & Compliance: Follow established fraud and risk protocols, identify red flags on your files, and escalate high-risk matters promptly.

Process Improvement: Contribute ideas for improving templates, workflows, and client communication processes as you develop familiarity with lender and conveyancing requirements.
Candidate Profile & Requirements
We’re looking for someone with strong foundations who is ready to be stretched:
- Some experience in a mortgage settlements, loan processing, or similar role in the Australian lending or broking industry
- Some exposure to end-to-end settlement workflows including loan document review, lender and conveyancer coordination, and client engagement
- Familiarity with lender platforms and CRM tools; experience with HubSpot is a plus
- An understanding of Responsible Lending Obligations (NCCP) and compliance requirements relevant to the settlement process
- Strong written and verbal communication skills for professional engagement with clients, brokers, solicitors, and lenders
- A self-motivated, detail-oriented professional who thrives in a fast-paced, high-ownership environment
