This AI Services Statement (the “Statement“) outlines the use of artificial intelligence (AI) across the Employment Hero Platform, including the Employment Hero Work app (EH work app), Employment Hero Jobs app (EH Jobs app), Employment Hero websites, and any additional products and services (EH Platform).

This Statement provides transparency on our AI Services, how they operate, the data handling practices involved, and the technology partners who support the delivery of the AI Services.

Our AI Services are embedded as core features or services of the EH Platform, and you may not be able to opt out of its inclusion. There are some AI Services that you can simply not use if you do not agree to its inclusion in the EH Platform.

Inclusion of the AI Services

The EH Platform incorporates AI Services that you may voluntarily use, which are designed to offer you the best experience possible when using the EH Platform. There are some AI Services that are core inclusions in our provision of the EH Platform, like AI-Powered Implementation for business customers, which is necessary for effectively onboarding you as a customer and giving you a seamless experience.

AI Services	Details
Hero AI	An AI-powered chat tool that answers questions your employees may input relating to their business and employment, based on the organisation account information. Hero AI can also provide you with answers to your questions by utilising the information in your company policies and the ‘knowledge based articles’ on our help centre. The data that is processed through this service is the data you input by voluntarily using it, and the data it needs to process within your organisation account or from external sources, to provide relevant outputs.
AI Wand Enhancements	Intelligent content editing and rewriting feature that operates only on your command. The data that is processed through this service is only the data you actively input if you voluntarily decide to use it.
AI-Powered Implementation	Our customers start their journey using the EH Platform through our Implementation services. These services are powered by AI to ensure efficient and effective onboarding of new customers.  To carry out the implementation of the EH Platform, customers need to provide us with business and employee details, including personal data of employees (like name, DOB, address, payroll data and other employment information). This information is crucial for the setup and configuration of the EH Platform to provide the contracted services to each customer. We use AI to organise the provided data into the format required for effective and efficient implementation. This process also includes verifying and validating the information to reduce errors and improve the quality of the implementation process. This means that we implement the EH Platform for your business at a fast pace and at a lower cost to you.
Employment Hero Jobs (including SmartMatch)	EH Jobs is a job board in which candidates can create a profile and seek jobs. AI-powered features within EH Jobs include SmartMatch, profile summaries, CV parsing, and AI Wand Enhancements. You can learn more about these features, and the related data handling practices here.

Legal notice on the inputs and outputs of AI Services

AI Services like Hero AI and AI Wand Enhancements are powered by large language models, and the outputs you receive from these services depend a lot on your own inputs. You are responsible for the data you input into these AI Services with ‘free text’ functionalities. You are also responsible for the outputs of these AI Services, and you should review these outputs to ensure that they are appropriate for your needs.

Your data 

Any personal data you provide is processed in accordance with our Privacy Policy. When we provide the EH Jobs services to you, we only process the data you provide to us via these services and the relevant user activity data available to us from your use of these services. 

Your data may be continuously processed to create relevant matches and recommendations provided by SmartMatch. This means that if you are a candidate using EH Jobs board, your profile information will be shared with businesses to connect you to them. You can control how your personal data is used for SmartMatch by going to your profile settings here.

You are responsible for the data you input into your EH Jobs profile, or any job applications made on EH Jobs, and you are also responsible for ensuring the information you provide on EH Jobs is accurate and up-to-date.

We use data relating to the performance of our services and user activity (excluding personal data) to improve and develop our models. We do not use candidate personal data to train any AI models or for machine learning.

We do not expressly permit our AI technology partners to use the personal data of our customers to train their AI models.

We do not sell any of your personal data to third parties.

AI technology partners

We use third parties to provide some of our AI features in EH Jobs. By using EH Jobs, you consent to personal data you include in your profile and inputs being transferred to third parties, including OpenAI and Affinda. 

We may also share your data with select third party service providers we engage to generally provide the services you request. You can view a full list of our third-party sub-processors here.

Updates to this Statement

We may update this Statement from time to time, and you are encouraged to periodically review this Statement for changes. We may also notify you via email or in-platform notifications if there are significant changes to how we provide our AI Services or if we make material changes to this Statement that affect you.
