Headspace is Australia’s National Youth Mental Health Foundation, providing early intervention mental health services to 12- to 25-year-olds. Headspace has over 150 centres nationwide and has a ‘no wrong door’ approach for those seeking assistance.
Headspace Kununurra, located on Miriwoong country, is a place where young people can get free and confidential support for their mental health, access non-judgemental information and support around drugs or alcohol and access to a GP for physical health needs (including sexual health). Headspace also helps with vocational and study needs.
Wunan Health is the only private GP Practice in the East Kimberley region. We provide a
range of high-quality health care services to the residents of Kununurra, Wyndham, Halls Creek and extended communities. Our dedicated team comprises of General Practitioners/Registrars, Registered Nurses, Aboriginal Health Practitioners and our experienced Medical Administration team. Wunan Health is the lead agency of headspace Kununurra.
About the Role
The Medical Receptionist is part of the headspace Kununurra team and works to provide professional and confidential administration services to support effective service delivery and day-to-day functioning. As the first point of contact, the medical receptionist is responsible for providing a
welcoming, youth friendly reception service to young people, their families and a range of health and community service providers.
The role will provide reception support to various clinical staff to ensure the smooth running of headspace Kununurra.
The Medical Receptionist will be the main point of contact for the office for all administrative matters, and as otherwise specified by the Centre Manager and/or the Clinical Lead.
This role requires that you be the first point of contact for young people who are often in crisis, so it is essential that you have a high level of emotional intelligence and are comfortable working around
children and youth.
Job Requirements – Essential:
Particular duties
- Provide a welcoming, youth-friendly and accessible reception service to all young people, their family and friends, and a range of health and community service providers;
- Maintaining a clean, safe and inviting environment for all;
- Making appointments for young people to see clinicians, including SMS reminders and maintaining waiting lists;
- Processing MBS claims and coordinating the Medicare billing;
- Assist and work with the Centre Manager to carry out the administrative functions in relation to engaging relevant sectors and partners in an integrated model of care, promoting multidisciplinary teamwork and participation in headspace Kununurra at a local level;
- Provide admin support to various committees associated with headspace Kununurra, organise and participate in committee meetings, including preparation of meeting agendas, minutes, papers and correspondence;
- Work collaboratively with Centre Manager, staff and practitioners to ensure that any administrative support issues are identified and resolved to maintain the sustainable and ongoing delivery of their services;
- Participate in, and support other members of the headspace centre team to participate in, programs, education and training, and other opportunities on offer;
- Proactively contribute to a working environment that is conducive to high productivity, where all staff understand what is expected of them and how their efforts contribute to organisational success;
- Assist in establishing appropriate processes and structures and develop, document and implement policies and procedures that ensure the efficient and effective operations of the headspace Centre;
- Assist in the implementation of relevant and innovative quality systems and contribute to research development to ensure service integrity and quality;
- Assist in monitoring, evaluation and data collection and compliance with the dataset requirements from headspace National, Primary Health Network and any other program or funding body;
- Work closely with the Centre manager and Clinical Lead to recognise and manage risk, and ensure that actions are taken to prevent and minimise harm to consumers and the workforce; and
- Ensure all complaints and incidents are managed in accordance with applicable policies and procedures.
General duties
- Assist in building and maintaining effective relationships with key stakeholders involved in the provision of health, mental health and psychosocial services to young people; and
- Other duties consistent with the position where required and/or requested by management from time to time.
- You will be a caring and understanding individual, with strong written, verbal and interpersonal communication skills, as well as effective organisational skills, good problem-solving skills and the ability to work in challenging situations.
- You will also be able to demonstrate a practical and optimistic approach and the ability to work effectively within a team environment as well as independently.
Experience
Essential
- Possession of qualifications in business management, administration, finance, or human resources.
- Minimum 3 years’ experience in an administrative role, preferably within the community services sector
- Ability to demonstrate an in-depth knowledge of allied health/medical practice management
- A clear understanding and knowledge of Medicare billing, Electronic Medical Records, and the Australian health system
- Proficiency in Microsoft Word, Excel and Powerpoint.
Desirable
- Experience in the not for profit/non-government
sector.
Qualifications and Registrations
Desirable
- Qualifications in business or health services administration.
The position holder must also:
- Maintain a current WA check for working with young
people;
- Undergo a current and satisfactory Police Check;
- Maintain a current driver’s license; and
- Have some flexibility to travel, and to work after
hours (including weekends and evenings).
