Description

Role: Finance and Administration Support Officer

Employment Type: Part-Time (0.6 FTE – 3 days per week) with one (1) day of WFH arrangement

Reports to: National Manager (Operational direction from the Senior Financial Controller)

Role Purpose:

The role provides finance administration, office administration, human resources, and governance support to Worldview Foundation. The primary focus of the role is the delivery of finance administration services, including accounts payable and receivable processing, reconciliations, financial record keeping, grant funding administration and audit support. The position contributes to organisational sustainability, accountability and operational effectiveness through accurate financial administration, sound record keepingand efficient administrative support.

Success in this role will be demonstrated through:

Accounts Payable and Accounts Receivable

  • Process supplier invoices, payments and reimbursements.
  • Raise customer invoices and monitor debtor payments.
  • Maintain accurate AP and AR records within Xero.
  • Respond to supplier and customer account enquiries.
  • Monitor outstanding accounts and follow up on overdue payments.

Reconciliations and Financial Records

  • Complete bank account reconciliations.
  • Reconcile credit card transactions and expenditure records.
  • Maintain supporting financial documentation and filing systems.
  • Assist with monthly financial reconciliations and reporting processes.
  • Support payroll administration and timesheet verification as required.

Funding Administration and Compliance

  • Maintain grant and funding expenditure records.
  • Maintain funding expenditure records and assist management with monitoring expenditure against approved funding agreements.
  • Maintain evidence and supporting documentation for acquittals.
  • Assist with preparation of funding reports, acquittals and audits.
  • Liaise with externalaccountants, auditors and funding bodies as required.

Office Administration

  • Coordinate incoming correspondence, phone enquiries and shared email accounts.
  • Support meeting coordination, travel bookings and logistics.
  • Maintain office systems, supplies and administrative registers.
  • Support events, workshops and organisational activities.

Human Resources Administration

  • Maintain employee personnel files and HR records.
  • Coordinate onboarding, induction and employment documentation.
  • Maintain leave, training and compliance records.
  • Assist with recruitment administration and candidate communications.
  • Monitor mandatory compliance requirements including WWVP registrations, police checks and licences.

Governance and Compliance Support

  • Coordinate and maintain records for the Board and Committee meeting.
  • Prepare meeting packs, agendas and minutes.
  • Maintain governance registers and corporate records.
  • Support policy reviews and document control processes.
  • Maintain compliance registers and provide reminders regarding reporting deadlines.

General Duties

  • Promote positive engagement with Aboriginal and Torres Strait Islander communities.

Skills, Qualifications, Knowledge & Experience

Essential

  • Demonstrated experience in administration, bookkeeping, finance, and office management.
  • Experience using Xero accounting system.
  • Experience maintaining accurate financial and organisational records.
  • Strong organisational and time management skills.
  • High level diligence with attention to detail and accuracy.
  • Intermediate to advanced Microsoft Office skills.
  • Strong written and verbal communication skills.
  • Ability to manage competing priorities and meet deadlines.
  • Ability to work independently with minimal supervision.
  • Commitment to culturally safe practice and working respectfully with Aboriginal and Torres Strait Islander communities.

Desirable

  • Experience working within an ACCO, not-for-profit or community services organisation.
  • Experience supporting government-funded organisations.
  • Experience with grant acquittals, audits, and compliance reporting.
  • Experience using CRM, SharePoint, or records management systems.
  • Understanding of governance requirements for incorporated associations and charities.

Qualifications

Essential

  • Certificate IV in Business Administration, Accounting, Bookkeeping, Business Services, or a related field; or equivalent demonstrated experience.

Desirable

  • Diploma qualification in Business, Accounting, or Management.
  • Xero Certification with Governance or Records Management qualifications.

Compliance Requirements

  • ACT Working with Vulnerable People Registration (or ability to obtain).
  • National Police Check (or ability to obtain).
  • Current ACT Driver Licence (or ability to obtain).
