Description

Summary:

We are seeking an experienced, professional Receptionist to join our team Toowoomba Head Office team. this role is vital in delivering client focussed service . The role provides first point of contact for clients, carers, and visitors and efficient administrative support to our Allied Health team including diary management, and accounts administration through Xanda and Xero.

Responsibilities:

  • Greet clients & visitors on arrival in a friendly and professional manner.
  • Answer and direct phone calls to the appropriate departments.
  • Manage incoming and outgoing correspondence, including emails and postal mail.
  • Open and close the practice daily, ensuring all rooms, waiting areas and the reception space are clean, tidy, presentable and ready for clients.
  • Assist with scheduling appointments and managing calendars for staff
  • Issue invoices to plan managers, support coordinators and the NDIA promptly, and submit payment requests/claims through the appropriate channels.
  • Reconcile invoices and ensure accurate data flow between Xanda and Xero.
  • Monitor the debtors ledger and follow up outstanding invoices with clients, plan managers and the NDIA.

Qualifications:

  • Demonstrated experience in reception, administration or accounts in a medical, allied health or NDIS environment.
  • Experience with invoicing, debtor management and accounts receivable processes.
  • Proficiency with practice management and accounting software (Xander & Xero preferred)
  • •Working knowledge of the NDIS, including plan management types, the NDIS price guide and claiming processes
