Offshore Administration Officer

Full-Time | Offshore | Administration

Position Overview

The Offshore Administration Officer provides day-to-day administrative support to our accounting practice across a range of compliance and client management tasks. Working closely with the Australian-based team, this role ensures accurate, timely, and organised delivery of administrative responsibilities.

Key Responsibilities

  • Lodge and maintain company statements, changes, and updates via CAS360
  • Monitor ASIC deadlines and manage compliance calendars to avoid late fees
  • Maintain company registers and process officeholder or address changes
  • Create, update, and archive client files in the practice management system
  • Ensure client records are complete, accurate, and up to date
  • Collect and manage onboarding documentation for new clients
  • Monitor and action incoming ATO correspondence on behalf of clients
  • Use ATO Mate to process ATO notices
  • Track documents issued for client signature (e.g. tax returns, engagement letters)
  • Send reminders and follow up outstanding signing items with clients
  • File completed and signed documents into client files in a timely manner
  • Ensure filing is consistent, clearly labelled, and meets practice conventions
  • Prepare third party authority requests (e.g. bank, broker requests)
  • Respond to third party requests for client information under valid client authority
  • Search, register, and renew business names via ASIC Connect
  • Monitor business name expiry dates and process cancellations or transfers as required
  • Support the team with ad hoc tasks and requests as they arise

Skills & Experience

  • Experience in Xero
  • Familiarity with ASIC Connect, ATO Online Services, and CAS360
  • Understanding of Australian business structures and compliance requirements
  • Strong attention to detail and ability to manage multiple deadlines
  • Proficient in Microsoft Office and practice management software
  • Clear written and verbal communication skills in English
  • Ability to work independently and manage time effectively
  • Proactive and reliable approach to task management
