As Waterline’s Project Administrator, your primary focus will be on the provision of administration support for the Project Management Office. This position supports the Manager – PMO, Project Manager, Portfolio Managers and Document Control.
Due to the varying levels of projects and jobs that are currently undertaken by Waterline, the specific tasks can vary dependent upon the job itself but can include supporting scoping, quoting, planning, managing project financials, monitoring hours, resourcing, invoicing, reporting, and providing support to internal and external clients as required.
In addition to the above you will be required to manage our Contractor Management requirements as well as manage our internal resource and planning.
Position Details
Projects
Work across the project’s lifecycle as required by the projects’ Lead (PFM or PM). This can include the following:
- Project scoping and project quoting
- Project scheduling (scope and resourcing)
- Project reporting as defined by the requirements of the project
- Project administration, budget and financials management
- Project close out and reviews
Contractor Management
- Maintaining our CMS profiles with clients
- Arranging and planning of medicals and inductions
- Assisting with onboarding Waterliners to sites
Resourcing & Scheduling
- Weekly meetings with PFMs, PMs and TLs to plan in resources to current projects
- Maintain the planning tool with leave, public holidays and training days to assist in overall manning
- Assist with under and over capacity issues
- Prepare and present scheduling outcomes each week
As well as any other task or duties for which you may have the skill, knowledge and/or training that is required of you from time to time.

Essential Experience
- 1+ years’ working in administrative roles
Desirable Experience
- Exposure to Australian Industry (including Mining, Energy, Chemicals, Oil & Gas)
- Scheduling using MS Project or similar
- Experience working with Engineering teams
