Description

An exciting opportunity has become available for a highly organised, intuitive and confident Executive Assistant & Business Support to join the Vital Chemical team.

Vital Chemical is a recognised leader in sustainable environmental solutions, with expertise in erosion control, dust suppression, revegetation, and water treatment.

We are seeking a talented individual who can provide executive support to our two Directors, whilst also assisting in day-to-day administration tasks of the business. You will be anticipating needs, managing priorities, and ensuring their time is spent where it matters most. You will confidently filter what requires their attention, take initiative without direction, and step in to keep momentum across the business.

You’ll be supporting two dynamic leaders, often balancing competing priorities, and will play a key role in ensuring nothing slips through the cracks.

This role will work between two sites – Darra and Seventeen Mile Rocks. This role is well suited to an individual who thrives in a busy environment and who enjoys balancing executive support, operations and office assistance.

What You’ll Do:

  • Act as the right hand to the Directors – anticipating needs, managing priorities, and proactively supporting day-to-day operations.
  • Manage complex and constantly shifting calendars, ensuring time is aligned to business priorities.
  • Oversee inbox triage, identifying key actions, responding where appropriate, and escalating when required.
  • Confidently manage competing requests across two Directors, making sound decisions on prioritisation.
  • Identify and resolve issues before they arise, taking ownership of outcomes rather than simply completing tasks.
  • Act as a central point of coordination across the business, ensuring communication is clear and work continues to move forward — even when Directors are unavailable.
  • Liaise with internal and external stakeholders, building strong relationships acting as a trusted point of contact.
  • Manage credit card reconciliation and oversee expense management for the Directors.
  • Maintain strict confidentiality and professionalism across all aspects of the role.
  • Continuously look for ways to improve systems, processes, and efficiencies across how the Directors operate.
  • Facilitate company events and collaborate with the Marketing Manager to plan and execute events and initiatives.
  • Provide support across general administration functions of the business including but not limited to – assigning incoming enquiries and preparing customer quotations.

About You

  • Prove experience (3+ years) in an Executive Assistant or similar role supporting senior leaders.
  • The ability to anticipate needs and make decisions without waiting for direction.
  • Strong judgement and confidence managing competing priorities.
  • Comfortable operating independently, while seamlessly integrating into a team environment.
  • A proactive mindset — you fix problems before they’re noticed and take ownership through to resolution.
  • Exceptional organisational and time management skills, particularly across complex calendar and inbox management.
  • Excellent communication skills and the ability to build trust with stakeholders at all levels.
  • Reliable, dependable and trustworthy.
  • Strong ability to multitask and manage competing priorities.
  • A calm, solutions-focused approach, even when plans change.
  • High levels of discretion and professionalism.
  • Drivers licence and own transport.
  • Ability to pass a pre-employment drug test and police check.
