Description

The South West Aboriginal Medical Service (SWAMS) is an Aboriginal Community Controlled Health Service based in Bunbury which provides a variety of health services to Aboriginal people in the South West, Great South, Upper wheatbelt and Peel Regions of Western Australia.  SWAMS delivers a wide range of Services including: GP Clinics, Primary Health Care, Counselling, Out of Home Care, Aged Care and community host various programs. SWAMS has a strong growth strategy through partnership opportunities and future community development.

About the role 

 

The Executive Support Officer provides operational, hands-on support to the Manager Office of the CEO, the CEO, the COO and the SWAMS Senior Leadership Team. The position is responsible for coordinating project governance workflows, preparing high-quality documentation, managing executive-level administration. The role acts as an important link between the Executive Assistant and the Manager Office of the Chief Executive Officer.

 

This role is responsibilities will include, but not limited to the following: 

  • Provide support to the Office of CEO in coordinating governance activities across SWAMS where required.
  • Coordinate actions from the SWAMS SLT Meetings and maintain high level records of meetings for auditing requirements.
  • Prepare draft project proposals, Board papers, briefing notes and background summaries for presentation at Executive and Board meetings.
  • Maintain and monitor action registers for the CEO, COO, and Senior Leadership Team (SLT)
  • Draft correspondence, reports, internal memos and templates.
  • Prepare presentations, talking points and briefing materials.
  • Coordinate internal requests requiring Executive Office response.
  • Coordinate meetings, actions, timelines and documentation for Executive-led projects.
  • Assist with research tasks and preparation of summary papers.

    

About you 

 

Along with having demonstrated experience providing a high level of secretarial or administrative support at an executive level you will be able to demonstrate the following:

  • Be of Aboriginal or Torres Strait Islander descent
  • Demonstrated experience providing personal secretarial and clerical services at an executive level.
  • Good written communication skills – able to draft correspondence, edit documents and write instructional information.
  • Excellent interpersonal and verbal communication skills – able to communicate with clients and external visitors, managers and staff at all levels and present a professional image.
  • Demonstrated organisational and time management skills along with an ability to adapt to changing needs.
  • Ability to work autonomously as required.
  • High level minute taking skills.
