ABOUT THE ROLE
This is a full-time position. The successful candidate will be primarily based at our West Perth Campus, reporting to the Academic Registrar. In this role, you will coordinate and manage the end-to-end processes for examinations and graduations within Higher Education, ensuring all activities are delivered efficiently, securely, and in full compliance with institutional policies and regulatory requirements. You will work closely with academic staff and internal teams to support assessment integrity, accurate verification of student completion, and the timely conferral of awards. By overseeing examination logistics, graduation processes, and student communications, you will play a critical role in maintaining academic standards, enhancing the student experience, and supporting the College’s commitment to high-quality education outcomes.
KEY RESPONSIBILITIES:
- Coordinate the full examination lifecycle, including scheduling, logistics, delivery, and finalisation
- Develop and manage examination timetables, venues, and contingency planning
- Recruit, train, and coordinate invigilators, acting as escalation point for exam-day issues
- Manage secure handling of examination materials and maintain accurate records and reporting
- Support student communication regarding examination schedules, rules, and special arrangements
- Coordinate graduation and conferral processes, including eligibility verification and completion checks
- Oversee the preparation, accuracy, and distribution of testamurs, transcripts, and completion documents
- Support planning and delivery of graduation ceremonies, including coordination with internal and external stakeholders
- Ensure compliance with institutional policies, accreditation standards, and regulatory frameworks
- Contribute to audits, reporting, and continuous improvement of examination and graduation processes
JOB REQUIREMENTS
- Demonstrated experience in higher education administration, ideally in examinations and/or graduations
- Strong organisational skills with the ability to manage complex, compliance-driven processes and competing priorities
- High level of attention to detail, accuracy, and confidentiality
- Excellent written and verbal communication skills
- Ability to interpret and apply institutional policies and external regulatory requirements (e.g., TEQSA)
- Proven ability to collaborate effectively with academic and professional staff
- Experience using student management systems and examination/graduation workflows (desirable)
- Understanding of assessment integrity, academic governance, and award conferral processes (desirable)
- Relevant tertiary qualification or equivalent experience in higher education administration
