At Silentium Defence, we’re developing world-leading passive radar and advanced sensing technology that supports Defence, national security, and critical infrastructure.

As our programs continue to grow, we’re looking for a highly organised Project Support Officer to join our Program Delivery team. This is an opportunity to work alongside experienced Project Managers and multidisciplinary engineering teams, playing an integral role in delivering complex hardware and software projects from planning through to completion.

Your Opportunity

As our Project Support Officer, you’ll provide critical coordination, administration, reporting, financial, and project control support across multiple Defence and engineering programs.

Working closely with Project Managers, Software Development Managers, engineers, suppliers, and customers, you’ll help ensure projects remain on schedule, within budget, and delivered to the highest quality standards.

What You’ll Do

  • Support Project Managers throughout the full project lifecycle, from project planning through to successful delivery and close-out.
  • Coordinate project meetings, prepare agendas, record minutes, track actions, and follow up on outstanding deliverables.
  • Maintain project documentation, schedules, risk registers, issue logs, action registers, project plans, and status reports.
  • Assist with the preparation, review, and submission of Contract Change Proposals and other contractual documentation.
  • Prepare monthly Contract Status Reports, Progress Reports, Program Delivery Board reporting, and project dashboards.
  • Monitor project milestones, schedules, budgets, deliverables, and key performance indicators.
  • Assist with Earned Value Management (EVM) reporting, project forecasting, and variance analysis.
  • Support project financial administration, including purchase requisitions, invoice tracking, cost monitoring, forecasting, and budget reconciliation.
  • Coordinate software and engineering project activities by assisting with software e schedules, engineering documentation, technical reviews, integration activities, verification, validation, and testing milestones.
  • Work closely with engineering teams to ensure project dependencies, technical deliverables, and customer commitments remain aligned.
  • Track project risks, issues, assumptions, and mitigation activities, escalating concerns where appropriate.
  • Coordinate communication between engineering teams, customers, suppliers, subcontractors, and internal stakeholders.
  • Organise project reviews, design reviews, workshops, customer meetings, training sessions, and stakeholder events.
  • Support procurement activities and coordinate with internal business functions to ensure timely purchasing and delivery of project requirements.
  • Maintain document configuration and version control in accordance with organisational processes and quality standards.
  • Assist in implementing and improving project management tools, templates, reporting, and governance processes.
  • Support quality assurance activities and ensure compliance with contractual, regulatory, and organisational requirements.
  • Contribute to continuous improvement initiatives across the Program Delivery function.

You communicate confidently with people across all levels of the organisation and enjoy working collaboratively with project managers, software engineers, systems engineers, production teams, suppliers, and customers.

What We’re Looking For

  • Experience in project administration, project coordination, business administration, engineering, or a similar role.
  • Experience supporting engineering, software, manufacturing, Defence, or technology projects is highly regarded.
  • Understanding of project management methodologies such as Agile, Waterfall, PRINCE2, or PMBOK.
  • Exposure to software development lifecycles (SDLC), engineering change processes, or systems integration is desirable.
  • Experience using Microsoft Project, Jira, Confluence, or similar project management software.
  • Strong Microsoft Office skills, particularly Excel, Word, PowerPoint, and Outlook.
  • Excellent organisational, communication, and stakeholder management skills.
  • Ability to manage multiple priorities while maintaining attention to detail and meeting deadlines.
  • Strong analytical skills with experience preparing reports, monitoring budgets, and interpreting project data.
  • Experience supporting project financial administration, procurement activities, or contract reporting is advantageous.
  • A proactive approach with strong problem-solving and continuous improvement skills.

Qualifications

  • Qualification in Business Administration, Project Management, Engineering, or a related discipline.
  • CAPM, PRINCE2 Foundation, AgilePM Foundation, or equivalent project management certification is desirable.
  • Understanding of project governance, project controls, and reporting.
  • Familiarity with Defence industry standards and project environments will be highly regarded.

Essential Requirements

  • Australian Citizenship is mandatory.
  • Ability to obtain and maintain a Negative Vetting Level 1 (NV1) Security Clearance, with the ability to obtain higher clearances if required.
  • Current Australian Driver’s Licence.
  • Ability to work across office, manufacturing, customer, and partner sites when required.
  • Flexible, proactive, and capable of managing multiple priorities in a dynamic environment.
