Share the Dignity is looking for a full-time Product and Access Solutions Administrator with a passion for administration, organisation, accuracy and helping to make a difference in the lives of others to join our Product and Access Solutions team. 

Are you a friendly, adaptable, and highly organised administrator ready to assist the team that focuses on ensuring period products are available to those in need?

Share the Dignity is passionate about our work helping women, girls and those who menstruate, who are in need and eliminating period poverty in Australia. As a relatively young charity (11 years old), there are still so many ways to grow and improve what we do – and we are looking for people who would relish the challenge of being a part of this phase. 

We are looking for someone who can bring their enthusiasm for attention to detail, proactive ‘can do’ attitude, willingness to support the team in administrative and organisational duties and commitment to great service which shapes how people in communities can access products when in need. This role will be varied, fast-paced and integral in achieving the goals of our Product and Access Solutions initiatives through administrative tasks and processes. 

Being adaptable, flexible and responsive to changing circumstances is a must. As is your ability to establish warm and respectful relationships with all internal and external stakeholders of Share the Dignity and communicate effectively and confidently in person, via phone, email and using online communication tools.  

Duties include: 

  • Provide administrative support and assistance relating to the preparation and processing of orders, DVM applications, Memorandum of Understandings, agreements, contracts, invoices and other documentation 
  • Arrange DVM installations, maintenance, and aftercare 
  • Maintain databases, systems and registers ensuring data is accurate, kept up to date, with reporting completed as required and any faults are logged 
  • Ensure effective customer service by handling enquiries, and nurturing relationships with key stakeholders such as customers, suppliers, corporate partners, government departments, schools, community and charity partners, volunteers, contractors, and more  
  • Maintain and organise stock and stocktake required for initiatives, such as of period packs, DVM/dispensers and more. This includes manual handling tasks of lifting and sorting stock 
  • Perform other administrative tasks as needed to support the team 

An ideal candidate is skilled in Microsoft Office and demonstrated ability to learn new technology quickly. You have excellent skills to prioritise, manage your time effectively, and adapt when needed. You communicate in a professional, friendly and confident manner to a wide range of people. You are passionate and motivated knowing you are part of the bigger picture of working to achieve the charity’s goals.  

To be a successful candidate you will have: 

  • Certificate III in Business Administration, or related field, or previous experience/on the job training relevant to this role 
  • Strong knowledge and proven experience with Microsoft Office suite including Outlook, Word, PowerPoint, and Excel 
  • Proven experience in administration, juggling priorities and ability to uphold timeframes with high level organisation skills, eye for detail and the ability to plan and adapt when required 
  • Desire and ability to follow through on delegated tasks and projects and report back on progress in a clear and concise manner  
  • Excellent communication skills and ability to establish warm and respectful relationships 
  • Open and current driver licence to drive Share the Dignity van to deliver or pick up items and stock 
  • Ability to perform safe manual handling of stock 

Desirable skills: 

  • Previous experience in not-for-profit environment 
  • Experience with Salesforce, SharePoint, Smartsheets, or other programs 
  • Experience supporting volunteers 
  • Troubleshooting basic common IT issues 
  • Previous experience with sales, stock and/or logistics administration
