Our Share the Dignity team is growing and therefore we are looking for a full-time People and Culture Administrator with a passion for people administration and helping to make a difference in the lives of others, to join our People and Culture team.

Share the Dignity is passionate about our work helping women, girls and those who have a period, who are in need and eliminating period poverty in Australia. As a relatively young charity (11 years old), there are still so many ways to grow and improve what we do – and we are looking for people who would relish the challenge of being a part of this phase.
We are looking for someone who can bring their enthusiasm for attention to detail, proactive ‘can do’
attitude, willingness to support the team in administrative and secretarial duties and commitment to great service which directly shapes how our volunteers and employees feel supported every day. This role will be fast-paced, integral in achieving the goals of our People and Culture team, with opportunities to assist with some really exciting employee and volunteer projects.
Being adaptable, flexible and responsive to changing circumstances is a must. As is your ability to establish warm and respectful relationships with all stakeholders of Share the Dignity and communicate effectively in person, via email and using online communication tools. Our People and Culture team are a very friendly and supportive team and are looking for someone who can contribute to a great team culture, is passionate and enthusiastic about their work, and someone who will always represent the team and the charity with confidentiality, integrity and professionalism.
Duties include:
- Provide administrative support and assistance relating to the preparation and coordination of People and Culture activities for both our employees and volunteers, including recruitment, onboarding and offboarding processes, training, team building activities, events and conferences and health, safety and wellness initiatives
- Assist with general diary management, including making appointments, planning, and coordinating meetings and interstate travel for the People and Culture team
- Manage first point of contact enquiries and inbound enquiries from our volunteers and the public
- Maintain databases, systems and registers ensuring data is accurate, kept up to date and reporting completed as required
- Complete purchases and maintain stock required for the People and Culture initiatives, this may include manual handling tasks of lifting and sorting stock
- Perform other ad-hoc administrative tasks as needed to support the team
You are someone who is skilled in Microsoft Office, with excellent skills to prioritise and manage your time effectively. You communicate in a professional and respectful manner and can work cohesively in a busy team, knowing you are part of the bigger picture of working to achieve the charity’s goals. Being a part of the People and Culture team requires confidentiality, integrity and professionalism and basic knowledge of human resource functions.
To be a successful candidate you will have:
- Certificate III in Business Administration, or similar field, or previous experience/on the job training relevant to this role
- Proven experience in administration and secretarial tasks, juggling priorities and ability to uphold timeframes with high level organisation skills, eye for detail and the ability to think and plan ahead
- Strong knowledge and proven experience with Microsoft Office suite including Outlook email and Calendar management; Advanced Word including styling documents and tracking changes; creating and amending PowerPoints; Non-financial Excel reporting are key skills
- Experience in creating, amending, and reporting surveys through Survey Monkey or Microsoft Forms
- Desire and ability to follow through on delegated tasks and projects and report back on progress in a clear and concise manner
- Open and current driver licence to drive Share the Dignity van to deliver or pick up
items and stock
Desirable skills:
- Previous experience in not-for-profit environment
- Experience supporting volunteers
- Advanced SharePoint knowledge
- A working knowledge of Canva or similar, to enable creation of basic invitations, organisational charts and handouts
- Knowledge of Workvivo or other volunteer experience platform
- Knowledge of Employment Hero or other HR Information System
- Knowledge of Salesforce or other Customer Relationship Management System
- Troubleshooting basic common IT issues
