About RSPCA Queensland
For nearly 140 years, RSPCA Queensland has been a leading animal welfare charity, dedicated to improving the lives of animals – whether domestic, farmed, or native. We care for over 42,000 animals annually, relying on the generosity of animal lovers like you to fund 91% of our life-changing services.
Our Purpose: We exist for animals to live better lives.
About the Role
This is a unique and rare opportunity to step into a highly trusted and fast-paced Executive Assistant role supporting the CEO of RSPCA Queensland.
As part of the Executive Office team, this role is far more than traditional diary management. You’ll play a key role in keeping priorities moving, coordinating executive operations and ensuring the CEO is well prepared across strategic, operational and stakeholder commitments.
You’ll work closely with the Executive Team, senior leaders and external stakeholders, coordinating everything from executive reporting rhythms and meeting governance through to travel, briefings, communications and enterprise-wide reporting activities.
This role would suit someone who thrives in a high-trust environment, loves bringing structure to complexity and can confidently juggle competing priorities while maintaining professionalism, discretion and exceptional attention to detail.
What We’re Looking For
We’re looking for someone highly organised, proactive and emotionally intelligent who knows how to stay two steps ahead.
This is the kind of role that suits someone who genuinely loves being the person behind the scenes making everything happen. Someone who is calm under pressure, instinctively proactive and able to bring structure, professionalism and polish to a fast-moving environment.
You’ll be confident managing shifting priorities, coordinating moving parts and communicating professionally with senior stakeholders, while exercising sound judgement and handling sensitive information with discretion and care.
Most importantly, you’re passionate about meaningful work, take pride in supporting purpose-driven leadership and want to contribute to an organisation that creates better outcomes for animal welfare across Queensland.
What You’ll Do
In this role, you will:
- Provide high-level executive support to the CEO, including diary management, correspondence triage, meeting preparation and priority coordination.
- Coordinate Executive Team and Senior Management meetings, including agendas, papers, action registers and follow-up activities.
- Manage stakeholder liaison and communications for the Office of the CEO, including coordinating meetings, requests and key engagements.
- Support governance and committee coordination activities in partnership with the Company Secretariat.
- Coordinate Federation-related reporting, meetings, actions and communications on behalf of the CEO.
- Prepare executive briefing packs, presentations, correspondence and confidential documentation.
- Coordinate travel, events, itineraries, VIP visits and logistical arrangements for the CEO.
- Support enterprise reporting rhythms, including dashboards, reporting packs and executive reporting coordination.
- Coordinate enterprise risk, WHS, operational, quality and compliance reporting activities with relevant teams.
- Maintain secure, accurate and well-organised records for the Office of the CEO.
What You’ll Bring to the Role
- Significant experience providing executive-level support to a CEO, Executive Team or senior leaders within a complex organisation.
- Exceptional organisational skills with the ability to manage competing priorities, deadlines and confidential information.
- Advanced Microsoft 365 capability, particularly across Outlook, Teams, Word and PowerPoint.
- Experience coordinating executive meetings, preparing agendas and papers, maintaining action registers and supporting follow-up activities.
- Strong stakeholder engagement and communication skills, with the confidence to liaise professionally across all levels.
- Proven experience coordinating travel, events and complex executive logistics with strong attention to detail.
- The ability to exercise sound judgement, maintain discretion and adapt quickly in a fast-paced environment.
- Experience supporting governance, reporting or compliance activities will be highly regarded.
- A qualification in business administration or related discipline will be well regarded.
