We’re currently seeking a part-time (20-25 hours per week) Client Services Assistant to join our rapidly growing firm located in the heart of Leederville.

The Role
As a Client Services Assistant at Oakstone Advisory, you will be joining our brilliant Administration and Operations Team and play a pivotal role in maintaining client relationships and supporting our Client Services Administrators.
This role would suit someone who is outgoing, enthusiastic, self-motivated, and able to adapt to various work situations.
Your main responsibilities will include:
General & Client Services
Screen Director’s calls and attend to client needs where possible
Booking of client appointments
Professional and prompt completion of general correspondence
Assistance with editing, formatting and finalising proposals, engagement letters and advice documents
Preparation & setup of new jobs for clients’ annual compliance
Collation of client tax packages including financial statements & taxation returns
ATO portal and Xero database maintenance including new clients, lost clients, referrals database, change of address & billing
ATO phone calls to provide information or amend details
Distribute & process outgoing mail
Organisation of couriers as required
Assistance with the end of month invoicing process
Processing client lodgements, notice of assessments and activity statements
Scanning & electronic filing of client information & correspondence
Welcoming clients to our office, offering refreshments, boardroom setup & presentation
Assist other staff with the office intercom & answering phones, directing calls & taking messages
Provide general admin assistance to all team members
Corporate Secretarial Services
Preparation of annual ASIC Company Statements, letters, and invoices
Maintenance of Corporate Volumes
Assist with the incorporation of new companies, trusts and self-managed superannuation funds
Our ideal candidate will have the following attributes
Reliable team player, hands-on and energetic about your role
Experience in an administration role, within an Accounting & Public Practice office is desirable, but not critical
Strong written, communication, organisational skills and attention to detail
Excellent MS Office suite experience particularly Outlook, Word & Excel
Outgoing & confident individual who wants to join in on the fun and positive culture
Ability to show initiative
High attention to detail and the ability to prioritise tasks
