    Who we are

    NORSTA Northeast – located in Cairns – is a wholly owned subsidiary of NORSTA Maritime Pty Ltd, an Australian company. NORSTA operates in North-Eastern Australia and Northern Australia as the Royal Australian Navy’s Regional Maintenance Provider (RMP). Our mission is to provide essential maintenance and sustainment services for naval vessels in the region.

    NOTE: As a condition of this role, you must be able to obtain (and hold) Baseline Defence security clearance, which requires Australian Citizenship. A National Police Criminal History Check will also be undertaken.

    Job Summary (Based in Cairns)

    NORSTA Maritime is seeking a highly capable and professional Executive/Business Support Officer to provide high-level executive and operational support to the General Manager and Leadership Team in a dynamic and fast-paced maritime and defence-support environment.

    This is not a traditional administration role. We are seeking an experienced Executive Assistant or senior business support professional who can confidently manage complex executive coordination, stakeholder engagement, governance support, and operational administration with a high degree of professionalism, discretion, and autonomy.

    Based in Cairns, this role is ideal for someone who thrives in a high-responsibility environment and enjoys working closely with senior leadership to support organisational effectiveness and operational delivery.

    Key Responsibilities

    Reporting directly to the General Manager, you will be responsible for:

  • Managing complex executive diaries, meetings, travel, and priorities
  • Preparing professional correspondence, reports, presentations, agendas, and briefing materials
  • Coordinating meetings, workshops, events, and stakeholder engagement activities
  • Supporting governance, compliance, reporting, and project coordination activities
  • Managing sensitive and confidential information with discretion and professionalism Providing operational and administrative support across multiple business functions
  • Supporting procurement, finance administration, records management, and office coordination activities
  • Building strong working relationships with internal teams, government stakeholders, suppliers, and external representatives
  • Your Experience

    You are an experienced Executive Assistant or senior business support professional with a proven ability to support senior leaders in a fast-paced and professional environment. You are highly organised, proactive, and capable of managing competing priorities while maintaining discretion, professionalism, and attention to detail.

    You will bring:

  • Minimum 3–5 years’ experience in an Executive Assistant, Executive Support, or senior administrative support role
  • Experience supporting senior executives, leadership teams, or complex business operations
  • Advanced diary management, travel coordination, and meeting management capability
  • Strong written communication skills, including preparation of reports, briefings, correspondence, and presentations
  • Excellent stakeholder engagement and relationship management skills
  • Strong organisational and time-management skills with the ability to prioritise effectively under pressure
  • Experience managing confidential and sensitive information with professionalism and discretion
  • Strong proficiency in Microsoft Office and business administration systems
  • Experience in governance, compliance, records management, procurement, or financial administration functions will be highly regarded
  • Experience within government, defence, maritime, infrastructure, or other complex operational environments is advantageous
  • Ability to work autonomously while contributing positively within a collaborative team environment
