The Role

The team this role is within is responsible for providing Integration as a Service, delivering and sustaining integrated electronic system capabilities that support Defence operational requirements. The team manages a diverse portfolio of capability integration, remediation and sustainment activities across multiple projects and platforms. This Project Support Officer – Procurement role will operate as part of the Program Management Office, providing project procurement support services across a range of funding lines and procurement types.

Key Responsibilities

  • Facilitate procurement activities including purchase requisitions, purchase orders, invoice processing, commitment tracking and procurement reporting.
  • Coordinate procurement documentation including Requests for Quotation and supporting evaluation activities in accordance with Defence policy and governance requirements.
  • Maintain procurement, financial and project registers to support project management and reporting activities.
  • Support financial administration activities including expenditure tracking, reconciliation and reporting.
  • Support preparation of procurement documentation and assist with review, clearance and approval processes.
  • Support procurement risk, issue, dependency and decision management activities.
  • Support preparation of agendas, minutes, action registers, briefs, presentations and stakeholder communications.
  • Support management of Program Management Office documentation repositories, Objective records and shared mailboxes.
  • Support project reporting activities including risk management, schedule, governance, financial and performance reporting.
  • Contribute to continuous improvement initiatives and Program Management Office process enhancement activities.
  • Provide other Program Management Office support services as required.

About You

You will bring current experience supporting Commonwealth procurement, commercial administration and financial management activities within a complex project, program or sustainment environment. You will be highly organised, able to manage competing priorities, and confident preparing documentation, reports, briefs and presentations. You will communicate clearly, build productive stakeholder relationships and support project governance, reporting and administration activities within a Defence environment.

Essential Criteria

  • Relevant tertiary qualifications or relevant industry and/or domain work experience.
  • Current experience conducting Commonwealth procurement, commercial administration and financial management activities.
  • Current experience supporting project, program or sustainment activities within a complex environment.
  • Experience preparing project documentation, reports, briefs and presentations.
  • Experience coordinating meetings, workshops and stakeholder engagement activities.
  • Strong organisational, planning and administrative skills.
  • Strong written and verbal communication skills.
  • Ability to manage competing priorities and deliver outcomes within agreed timeframes.
  • Knowledge commensurate with the required skill level of relevant Australian and International Standards, regulations and Defence requirements.
  • Proficiency in Microsoft Office, Defence ERP applications and electronic document management systems.

  • Location: Melbourne. Hybrid work arrangements apply, with a minimum of three days per week onsite, week-on-week.
