Our GWS Campus team are currently looking for an Operations Coordinator to join the team as a Maternity Cover for a period of 6 months. This role will be responsible for coordinating the day-to-day operations of the Campus. This includes leading the campus logistics team, providing leadership and ensuring all facets of team building are effective and healthy in the areas of training, nurture and vision.

Other aspects of this role include:

Venue Management

  • Liaise with the venue manager to ensure the building is maintained to a high standard.
  • Report building and equipment issues to the venue manager.
  • Ensure the building is presented in a clean and tidy manner.
  • Communicate with various staff and teams about their responsibilities (incl. safety) when using the facility e.g. RDGs, Youth or other courses.
  • Ensure campus facilities are thoroughly cleaned regularly as per cleaning checklists.

Safety & Contractor Organisation

  • Organise quotes from contractors e.g. Cleaning and Pest control.
  • Organise the process of testing and tagging for all electrical equipment as per requirements.
  • Coordinate preventative maintenance tasks with volunteers/contractors.
  • Update of first aid kits and dealing with or fixing any equipment.

Operations Team Leadership

  • Ensure team structures are dynamic and fresh and facilitate a spirit of excellence that meets the needs of the service and events.
  • Ensure teams recognise their contributions and understand they’re a vital part of the Sydney Greater West Campus.
  • Lead & empower operations teams to effectively perform their roles, ensuring high team morale & and an evident volunteer spirit.
  • Operation teams include (but are not limited to) hosts, venue safety, resources, carpark, van and buses, first aid, all catering, comma coffee carts and building sign-off.
  • Operational tasks include (but are not limited to) training, rostering, attending operational meetings, vehicle maintenance (incl vehicle inspection & registration as required), ordering & pick up of weekly resources, ordering food and resources for pastors lounge, coffee cart & BBQ, and monthly check of POS equipment and radios.
  • Manage vehicles for the campus

Administration

  • Create rosters for ministry teams
  • Complete weekly volunteer reporting tasks
  • Ensure team lists are up to date
  • Complete monthly concur reports & weekly reimbursement reports
  • Ensure all relevant asset paperwork is completed, filed and up to date

Ideally, the successful candidate will bring:

  • Higher School Certificate and Post Secondary Education in Management, Business or a related field preferred
  • Previous management or coordination experience
  • Team and volunteer management experience
  • Knowledge of relevant Health & Safety requirements for venues
  • Plans and prioritises
  • Communicates Effectively
  • Builds collaborative networks
  • Microsoft Office Suite Skills (Outlook, Word, Excel, Powertpoint)
  • Leadership Skills
