Our Darwin team are currently looking for a part time (2 days/week) Campus Administrator to join the team for a 6 month period.
This role will be responsible for providing administrative and operational support to the Campus Pastor to ensure the effective functioning of the campus. By building strong systems, fostering collaboration across ministries, and proactively coordinating campus every-day needs, this role empowers teams to outwork the vision and mission of the church and contributes to a healthy, engaged, and forward moving campus environment.
Other aspects of this role include:
ADMINISTRATIVE SUPPORT
- Provide day-to-day administrative assistance to the Campus Pastor.
- Manage campus calendars, schedules, and communication workflows to ensure clarity and alignment across ministries.
- Prepare documentation, reports, meeting agendas, minutes, and follow-up actions as required.
- Support ministry leaders with administrative processes, forms, approvals, and basic logistical needs
- Online bookings for scheduled events such as Faith Mission Partners, Easter, Christmas service etc. (e.g. food trucks and venues)
- Oversee online purchases for church consumables, café’ stock, stationary orders etc.
CAMPUS LOGISTICS & SYSTEMS MANAGEMENT
- Oversee and continually improve campus administrative systems, processes, and workflows to enhance efficiency.
- Coordinate operational needs such as facilities requests, resource management, and maintenance follow-ups.
- Oversee and co-ordinate venue management/ maintenance at Palmerston and Malak, re: building upkeep, grounds. Using volunteers as a priority.
- Coordinate/ Oversee Venue hire bookings etc.
- Oversee and compile Pastoral Care statistics
- Collaborate with central departments (Facilities, Finance, Communications, HR, etc.) to ensure seamless operational function.
- Track and action campus-related enquiries, requests, and tasks through appropriate systems.
- Maintain accurate records, databases, and administrative systems (e.g., volunteer database).
- Complete monthly corporate card reconciliation ensuring timely submission in alignment with finance policies.
- Assist with administration of Weddings and Funerals.
- Provide oversight of church finance/ offerings – e.g. banking of cash
- Booking of guest speaker flights and accommodation in conjunction with Campus Pastor.
TEAM EMPOWERMENT & COLLABORATION
- Build strong, supportive working relationships with ministry leaders, team leaders, and volunteers.
- Facilitate effective communication and collaboration across ministries to ensure alignment with campus priorities.
- Contribute to cultivating a positive, engaged, and service-oriented campus culture.
COMMUNICATION
- Act as a key communication conduit between the Campus Pastor, staff, ministry leaders, and the wider congregation.
- Draft, prepare, and distribute campus communication as needed.
- Ensure stakeholders receive timely, accurate information regarding campus operations and priorities.
SYSTEMS, PROCESSES & COMPLIANCE
- Maintain accurate records and databases (attendance, rosters, contact details, etc.) in line with policy, privacy, and compliance standards.
- Support ministry teams with church systems (e.g., Planning Centre Online), onboarding processes, and general administrative requirements.
- Assist with the implementation and monitoring of risk management and compliance procedures in conjunction with the Campus Pastor as oversight.
- Ensure adherence to church governance, policies, and operational guidelines.
Ideally, the successful candidate will bring:
- Certificate or diploma in Business Administration, Office Management, or related field (or equivalent practical experience).
- Training in systems, project coordination, or organizational operations (desirable).
- Understanding of church governance, policy, and ministry environments (esirable
- Proven experience in administrative or operational support roles (preferably 2+ years).
- Experience coordinating workflows, managing calendars, and supporting multiple stakeholders.
- Strong understanding of administrative processes, workflow management, and organisational systems.
- Working knowledge of compliance, privacy standards, and risk management procedures.
