Our Youth team are currently looking for an Administration & Projects Coordinator to join the team as a Maternity Cover for a period of 8 months. This role will be responsible for coordinating marketing, systems and administrative functions that support the execution of youth events. This role works closely with volunteer teams to provide direction, ensure alignment with the vision and mission of Hillsong Church, and oversee delivery outcomes.

Other aspects of this role include:

EVENTS ADMINISTRATION & REGISTRATIONS

  • Coordinate registration processes for youth events in partnership with the Youth Events Coordinator.
  • Manage and operate registration systems, ensuring data accuracy across national and local events.
  • Process registrations and oversee end-to-end registration workflows.
  • Respond to event enquiries and ensure clear, consistent communication.
  • Provide administrative support to local campuses for registration and event-related processes.
  • Manage broader administrative requirements for Hillsong Youth events nationally and locally (Summercamps, Encounter Conference, local campus formal nights, etc).
  • Support additional administrative needs across campuses as required.

SYSTEMS & DATA MANAGEMENT

  • Coordinate the setup of systems supporting major youth events such as sponsorship, statistic links, etc.
  • Oversee attendee, staff and volunteer sign-in systems for national events
  • Manage system platforms (PCO, Square, Sponsorships, etc.) and user access
  • Support local campuses in system usage and troubleshooting

MARKETING, COMMUNICATIONS & CREATIVE

  • Lead the planning & execution of marketing campaigns for Youth events
  • Coordinate volunteer teams to deliver campaign content and outputs
  • Manage Youth social media accounts, creating and curating content with volunteer teams.
  • Oversee the development and distribution of promotional materials and media assets.
  • Contribute to the development of creative concepts for national youth events.
  • Lead volunteer media teams to deliver creative outputs aligned with agreed event direction
  • Collaborate with the Youth Events Coordinator, youth pastors, and other relevant stakeholders to execute event plans and ensure alignment with overall objectives.
  • Develop and distribute content for youth events across digital and communication channels (website and email).
  • Collaborate with internal stakeholders to deliver marketing campaigns and promotional materials.
  • Partner with various departments for specific projects, ministry opportunities, and social impact initiatives.

PROJECTS & CONTRACTS

  • Coordinate contract preparation and submission (volunteer agreements, suppliers, venues) through the Contract Management System.
  • Liaise with the legal team to ensure contracts and event terms are compliance and completed on time.

Ideally, the successful candidate will bring:

  • Experience coordinating administrative functions, including event registrations, data management, and enquiry handling across multiple activities or projects
  • Demonstrated experience supporting or delivering marketing campaigns, including social media, content creation, and promotional coordination
  • Proven ability to lead, coordinate, and work effectively with volunteer teams to deliver outcomes
  • Strong project and event coordination experience, with the ability to manage multiple priorities and timelines simultaneously
  • Experience using and managing systems or platforms (e.g. registrations, CRM, event or finance tools) with a high level of accuracy and attention to detail
  • Excellent communication and stakeholder engagement skills, with the ability to work across teams and support multiple locations or campuses
  • Tertiary qualifications in Business Administration, Marketing, Events or a related field (preferred), or equivalent practical experience
