About the Role

This newly created role provides high‑trust executive support to two senior leaders while also keeping our head office and warehouse operations running seamlessly day‑to‑day.

This is not a traditional EA role where you sit behind a desk managing calendars all day. It’s a hybrid EA + Office Coordinator + Operations Assistant position — perfect for someone who enjoys variety, thrives in a fast‑paced environment, and isn’t afraid to roll up their sleeves.

One hour you’ll be preparing a board‑ready slide deck, coordinating travel, or organising documentation. The next hour you might be checking office supplies, ensuring the fridge is stocked, arranging courier pickups, or helping the warehouse team with admin tasks.

What You’ll Do

Executive Support

  • Diary management, inbox coordination, scheduling, and travel
  • Prepare documents, reports, presentations, and meeting packs
  • Manage communication flow and follow‑ups
  • Assist with project coordination and operational planning

Office & Warehouse Coordination

  • Ensure the office is stocked, organised, and running efficiently (yes — including milk in the fridge)
    • Manage supplies, deliveries, couriers, and general logistics
    • Support warehouse administration, documentation, and communication
    • Coordinate internal meetings, visitors, and staff needs
    • Maintain a tidy, professional environment across head office and warehouse spaces

    Business Administration

    • Maintain SOPs, internal files, and business documentation
    • Assist with onboarding, system access, and staff setup
    • Support cross‑department scheduling and communication
    • Help streamline processes and improve operational efficiency

    Who You Are

    • Experienced EA, Team Assistant, Office Coordinator, or similar
    • Highly organised, proactive, and calm under pressure
    • Comfortable supporting multiple leaders and juggling competing priorities
    • Strong communicator with excellent written and verbal skills
    • Tech‑confident (Microsoft Office, Teams, SharePoint, general business systems)
    • Discreet, professional, and trustworthy
    • Happy to work across both executive tasks and hands‑on office duties
    • A natural problem‑solver who sees what needs doing and gets it done
