The Role
We are seeking a highly organised and proactive Service and Warranty Administrator to support our on-site teams and ensure the smooth delivery of maintenance works across multiple properties. In this role, you will be the central point of coordination, liaising with stakeholders and ensuring maintenance jobs are delivered efficiently, on time, and to a high standard.
Key Responsibilities
- Provide administrative support to the on-site service and warranty team
- Coordinate and schedule maintenance bookings across multiple properties, ensuring efficient allocation of trades and internal technicians
- Act as the key point of contact between site staff, contractors, property managers, and internal teams
- Manage booking confirmations, and site access requirements, including liaising with tenants and property managers
- Monitor job progress and proactively follow up on outstanding works to ensure timely completion
- Maintain accurate job records, updates, and documentation within internal systems (Onsite Companion / CRM platforms)
- Support site teams with logistics to ensure smooth delivery of maintenance works
- Provide clear, client-focused communication, managing expectations around timeframes and access
- Escalate complex or high-risk issues to management with clear and concise summaries

- Confidence using CRM systems and managing high email volumes
- Ability to prioritise workloads and work effectively in a fast-paced environment
