About the Role

We’re looking for an experienced and motivated Assistant Manager to join our leadership team and support the Practice Manager in the day-to-day operations of our offices across South-East Queensland.

This is a unique opportunity for an emerging leader who is ready to take the next step in their career. The role offers a structured leadership development pathway, with the opportunity to step into the position of Acting Practice Manager during a planned 12-month maternity leave period. You will receive ongoing mentoring, support, and hands-on experience to develop your leadership, operational, and decision-making capabilities.

You’ll play a hands-on role across referral triage, NDIS funding verification, caseload allocation, service logistics, billing, stakeholder engagement, and property operations — working closely with Health Support Officers, clinicians, and external partners to keep services running smoothly and participants well supported.

What You’ll Be Doing

  • Referral Triage & Caseload Allocation — Register, verify, and triage incoming referrals; allocate caseloads across programs balancing clinician capacity and participant needs
  • NDIS Funding Verification — Verify participant plan details, funding categories, plan management type, and available budgets prior to service commencement and at each plan renewal
  • Booking & Service Logistics — Oversee participant scheduling, monitor utilisation, manage cancellations, and contribute to workforce capacity forecasting
  • Billing & Aged Debt — Monitor funding utilisation alerts, resolve rejected NDIS claims, and follow up on aged debts with plan managers, NDIA, and participants
  • Multidisciplinary Program Support — Support teams across Care Services, Allied Health, Support Coordination, and PHN programs (including MHCCC/CPSP), ensuring coordinated service delivery
  • SIL Property & Care Home Operations — Coordinate SIL property set-ups, manage house accounts, consumables, and ensure properties are safe, compliant, and operationally ready
  • Team Support & Culture — Provide guidance and supervision to Health Support Officers, support onboarding, and contribute to a positive and collaborative workplace

What We’re Looking For

Experience & Qualifications

  • Experience in an administrative, coordination, or supervisory role within healthcare, disability, or community services
  • Qualification in practice management, health, or a related field (desirable)

Skills & Capabilities

  • Understanding of mental health and disability services
  • Knowledge of NDIS funding, pricing, and claims processes
  • Familiarity with Medicare systems and their impact on service delivery
  • Strong organisational skills with the ability to manage competing priorities
  • Confident communicator with excellent stakeholder engagement skills
  • A natural problem solver who takes initiative and works well under pressure
