About the role
The Campus Operations Manager is an ECA staff appointee who provides effective operational leadership and management of all student administration and student services teams and supports the achievement of strategic objectives and service targets – coordinating service inputs from Education Centre of Australia (ECA) and Victoria University (VU).
Operating under the direction of Director of Operations (ECA-VU) and working closely with
the VU Sydney/Brisbane Campus Director & Principal, the incumbent is responsible for developing and managing student services, student administration, and oversees compliance practices. The role manages all operational requirements for the VU Sydney & Brisbane campuses. The position works collaboratively with the Victoria University stakeholders that support the delivery of services at VU Sydney & Brisbane.
The position requires a significant understanding of the international education sector; how universities operate; and must also be familiar with higher education standards and regulatory policies and procedures that guide international student administration & support.
Key Responsibilities:
Quality / Operational Excellence & Business Improvement:
- Work with the Associate Director of Operations (ECA-VU) to achieve
strategic and business objectives set by the ECA and VU.
- Develop and implement operational plans that cover general management of campus facilities, finance, and people across the core functions of student support, student services, enrolments, student fees, international student compliance and timetabling.
- Implement processes to monitor and report on VU Sydney campus performance against metrics agreed with the Associate Director of Operations (ECA-VU)
Finance and Growth
- Management of the Student Administration team including the oversight of fee collection and student compliance.
- Under the direction of the Associate Director of Operations and monitor the campus budget, cash flow forecasting and cost control processes to meet annual and project-specific budgets.
- Work with relevant ECA shared services staffing involved in the support and delivery of VU Sydney administrative and operational services
- Assist in delivery of business development strategies that increase income for the campus, including by fostering strong relationships between the campus, other ECA portfolios and relevant external partners.
People, Culture and Leadership:
- Inspire, coach, develop and nurture staff to build the skills and collaborative behaviours to be exceptional performers
- Maintain key relationships with university partner staff to ensure ECA’s strategies are supported and successful
- Manage the VU Sydney Student Services, Student Administration, Enrolments and Academic Services teams.
- Manage VU Sydney/Brisbane student engagement activities
- Manage VU Sydney/Brisbane campus facilities and building
- Comply with all WHS procedures and provide a safe workplace for staff, students, and other stakeholders
QUALITY ASSURANCE, COMPLIANCE & OTHER AREAS
- Ensure VU Sydney/Brisbane has strong processes for quality assurance and regulatory compliance across all student administration functions, including managing staff with responsibilities across student-facing administration services.
- Manage compliance with relevant VU and ECA policies across a range of activities and processes relating tuition fee payments, student progress, appeals and grievances, including record-keeping for internal and external audits/ reviews.
- Ensure non-academic services support at VU Sydney & Brisbane are offered in compliance with external regulatory requirements and standards: particularly those prescribed by the ESOS Act, the National Code and TEQSA threshold standards.
As the successful candidate you will ideally have
Qualification: Appropriate qualification or experience at Bachelor level suitable to the position in operations.
Experience: Extensive experience in managing diverse operations, preferably within the international and higher education services sector/s.
Knowledge:
- Knowledge of the operations and regulation of Australian higher education providers.
- Knowledge of regulatory requirements concerning international student services such as the ESOS Act and National Code.
Skills:
- High-level strategic planning skills with demonstrated ability to operationalise strategy.
- Sound leadership abilities including commitment to teamwork, inclusion; and diversity.
- Outstanding oral and written communication skills, including ability to interact with student and staff from culturally and linguistically diverse backgrounds.
- Strong interpersonal and relationship-building skills, including respectful communication with colleagues.
- Strong stakeholder management skills.
- Accurate record keeping.
