How you will make a difference

You’ll make a difference in this role by; Providing effective and quality services in both administrative, supplier bookings & travel support functions of the position in order to support the wider education team.

What you will be doing (Responsibilities and Duties)

  • Assist with course schedule development once locations are selected, ensuring venues are accessible, available and cost‑effective for bookings.
  • Conduct reasonable venue, catering and accommodation scoping at least annually (or as required) to ensure CRANAplus engages the most suitable and cost‑effective suppliers for education courses.
  • Complete supplier bookings for all Education Services face‑to‑face courses across Australia, including venues, catering and accommodation.
  • Capture and record booking data, including what was booked, associated costs, limitations, and any relevant notes.
  • Manage car hire bookings across education team and ensure invoices are followed up.
  • Maintain the Events workspace in Dynamics 365, ensuring all venue, catering and accommodation information is accurately recorded once booked.
  • Obtain venue checklists and ensure all required information is captured and uploaded into Dynamics 365 to support effective course delivery.
  • Upload all relevant documents into Dynamics 365 for team access, including travel itineraries and booking confirmations.
  • Ensure supplier invoices are obtained and uploaded into the CRANAplus finance system in a timely manner for payment processing.
  • Manage the taxi voucher supplier for the Education team, including coordinators, managers and facilitators.
  • Maintain respectful, professional and open communication with suppliers to support strong ongoing relationships.
  • Confidently negotiate the best possible rates and packages with suppliers, particularly for regular venues and delegate packages.
  • Assist with private course bookings on a needs basis.
  • Undertake general administrative duties as required, such as minute taking, agenda preparation, answering enquiries, supporting other Education Admin staff, and providing leave coverage. This requires learning other systems.

Qualifications / Registrations:

Desirable

  • Cert IV Business Administration (or similar).

Experience:

Essential

  • 3-5 years’ experience in office administration or equivalent combination.
  • Experience working in a high-volume environment, with excellent organisational skills, and proactive approach to managing workloads and demonstrated ability to establish priorities and solve problems.
  • Capacity to build and maintain productive relations within CRANAplus teams with people of diverse backgrounds and interests. 

Desirable

  • Experience working in a health/medical organisation or completion of a medical terminology course.
  • Experience in supplier and/or travel bookings in a similar position

Knowledge/Skills

Essential

  • Demonstrated high level of proficiency with computer software systems including Microsoft Software Applications and data systems.
  • A high level of commitment to confidently, sensitivity, professional boundaries and ethics, and a commitment to a fair and inclusive workplace environment
  • Demonstrated knowledge and application of culturally safe practices, and the ability to work respectfully, effectively, and collaboratively with First Nations People and communities.
