Associate, Client Experience (Part Time) Newcastle

Join a growing, high performing financial advice business delivering a premium client experience

Coastal Advisory Australia is seeking a proactive and client focused Associate, Client Experience to join our Newcastle office on a part time basis, Monday to Thursday.

This is a pivotal role at the front of our business, ideal for someone who takes pride in delivering exceptional service, thrives in a fast paced environment, and enjoys being the go to person who keeps everything running smoothly.

About the Role

As the first point of contact for our clients and visitors, you will play a key role in shaping the Coastal experience.

You will support reception, coordinate meetings, assist our Advice team with administrative tasks, and contribute to the seamless delivery of our client service model.

Key Responsibilities

  • Welcome clients and visitors, ensuring a professional and warm experience
  • Manage incoming calls, emails, and reception enquiries
  • Coordinate meeting bookings and prepare meeting rooms
  • Support the Advice team with client documentation and administration
  • Manage client service requests and maintain accurate records in Xplan
  • Assist with client communications and review booking processes
  • Support office operations including supplies, facilities, and general upkeep
  • Assist with the coordination of client and staff events

You will bring:

  • Experience in a reception, client service, or administrative role
  • A strong client first mindset with excellent communication skills
  • High attention to detail and strong organisational ability
  • A professional, polished, and approachable manner
  • A proactive attitude with the ability to take initiative
  • Confidence working with systems and technology, experience with Xplan or similar is highly regarded
  • Experience in financial services, accounting, or another professional services environment is desirable
