Field Support Administrator 

Are you an organised administrator who thrives on keeping things running smoothly and enjoys working with people? 

We’re looking for a Field Support Administrator to join our Apprenticeship Support Services team in Perth CBD. This is a busy and varied role where you’ll be the backbone of our Field Officer team, coordinating appointments, supporting apprentices and employers, and ensuring critical administrative processes are completed accurately and on time.  

About the Role 

Reporting to the State Manager, you’ll provide administration and operational support to our Apprenticeship Field Officers and broader team. You’ll play a key role in ensuring apprentices, employers and internal stakeholders receive exceptional service while helping the team achieve successful outcomes.  

Key Responsibilities 

  • Schedule appointments and coordinate diaries for Apprenticeship Field Officers  
  • Conduct progress contact activities with apprentices and employers  
  • Assist with training contract creation and administration  
  • Provide administrative support across operational projects and programs  
  • Manage meetings, events, catering and venue coordination  
  • Support onboarding and offboarding activities  
  • Process credit card reconciliations and routine financial transactions  
  • Respond to enquiries and provide exceptional customer service  
  • Maintain accurate records, databases and documentation  
  • Coordinate office supplies, stationery and workplace requirements  
  • Assist with system access requests and general user support  
  • Support internal communications and newsletters through MailChimp.  

 

About You 

You’ll be a confident and professional administrator who enjoys building relationships and managing multiple priorities. 

To be successful, you’ll bring: 

  • Previous administration, scheduling, coordination or customer service experience  
  • Exceptional organisational and time management skills  
  • Strong communication skills and the ability to engage professionally with clients and stakeholders  
  • Experience managing competing priorities in a fast-paced environment  
  • High attention to detail and accuracy  
  • Strong Microsoft Office skills  
  • A proactive and solutions-focused approach  
  • The ability to work both independently and as part of a collaborative team  
  • A commitment to confidentiality and professionalism.  

 

Highly Regarded 

  • Experience scheduling appointments or coordinating field-based teams  
  • Experience working with apprenticeships, training organisations, employment services or community services  
  • Experience using MailChimp or similar communication platforms  
  • Certificate III in Business Administration or similar qualification.
