    Built Environment Collective (BEC) is an Australian-based multi-discipline Engineering & Project Management Design Consultancy. We work across a range of market sectors and project types, both domestically and internationally.     We are looking for an Administration Officer to join our team in our Brisbane HQ.

    As our Administration Officer, you will play a key role in providing administration functions and support across our teams.

    Our Administration Officer is essential, ensuring the smooth-running of day-to-day administration processes and compliance, handling the contribution of efficiency, while backing our engineering and project teams and overall organisational success.

    The ideal candidate will possess strong organisational skills and a proactive approach to problem-solving, making them a valuable asset to our team.

    This is a hands-on role suited to someone who enjoys variety, takes ownership, & is comfortable working in a growing, fast-moving professional services environment.

    You will lead the administration function, while providing support to our Finance Manager and reporting to our Business Services Manager.

    Key responsibilities

    Administration & Business Support

    • manage and maintain office environment, supplies, stock, branding materials, and equipment, ensuring all resources are readily available for staff (across multiple office locations)
    • coordinate team meetings, training, recordings, mail outs, gifts and marketing
    • assist with organisation of events and functions within the workplace plus corporate days
    • assist in the preparation and coordination of project documentation, including reports and presentations.
    • provide administrative support to engineering teams, including scheduling meetings and managing calendars.
    • provide administrative support to project teams, including tracking data and pipeline schedules.
    • maintain accurate records and databases, ensuring compliance with company policies and procedures.
    • liaise with clients and stakeholders, providing information and support as required.
    • assist with general HR functions, onboarding process for new employees, ensuring a smooth transition into the organisation.
    • support financial administration tasks, including invoicing and budget tracking.
    • provide administrative functions to our Business Services Manager & Finance Manager

    Quality Management Systems

    • assist with maintaining health & safety documentation, registers, & systems
    • support internal compliance requirements across multiple jurisdictions
    • help ensure workplace practices align with legislative & regulatory requirements

    About you

    • qualification in Administration, Business or a related discipline
    • minimum of 5+ years-experience in Administration roles
    • experience in administration within a fast-paced environment
    • confident working across multiple systems and applications
    • a great communicator with a professional, approachable style
    • able to work autonomously while supporting a collaborative team
    • friendly, approachable personality, with an open mind and ready to work
    • strong organisational and time management skills, with the ability to prioritise tasks effectively
    • proficient in Microsoft Office Suite, and other relevant software applications (including Workflow Max, Hubspot, Newforma, XERO, Employment Hero – not mandatory)
    • Australian citizenship is required for this position
