Description

At Beam, we’re all about empowering people to thrive, because everyone deserves to live a bright life. We’re a multidisciplinary allied health clinic supporting children, teens, adults, and families through psychology, OT, speech, and behaviour support.

If you’re an experienced, friendly, and organised Receptionist who shares our passion, we’d love to hear from you.

You’ll work across our Tuggerah and Gosford clinics, with part-time or casual options available for the right person.

THE ROLE

This isn’t your average reception job. Yes, you’ll be the first friendly face or voice our clients connect with, helping create a warm and welcoming experience; but you’ll also play a vital role behind the scenes, supporting our clinical team and helping to deliver high-quality care.

As a Receptionist at Beam, your responsibilities will include:

  • Managing reception duties including answering calls, handling referrals, and responding to client requests
  • Greeting clients and families from diverse backgrounds, age groups, and presentations
  • Creating a supportive and positive experience for clients and stakeholders
  • Scheduling and rescheduling appointments
  • Preparing and collecting key client paperwork
  • Processing payments, managing invoices, Medicare claims, and other fee payments
  • Providing highly effective, responsive, and confidential support to the clinical team
  • Liaising with GPs, allied health, and other professionals
  • Managing electronic files, scanning, and record keeping
  • Handling incoming and outgoing emails
  • Keeping our clinic environment tidy, welcoming, and well-organised
  • Travelling to other clinic locations for training, meetings, or occasional reception support

THE PERSON

You’re capable, calm under pressure, and confident juggling multiple tasks at once. You’re warm with people, great in a team, and able to work independently when needed.

You’ll thrive in this role if you have:

  • Previous experience in a medical, allied health, or similar setting
  • Experience with Medicare rebates and an understanding of NDIS funding
  • Confidence communicating with people from all walks of life, including those who may be distressed
  • A high level of discretion, sensitivity, and professionalism
  • A warm presence and excellent interpersonal skills
  • Strong time management and organisational skills
  • High attention to detail and a strong commitment to accuracy
  • Solid written and verbal communication skills
  • Intermediate Microsoft Office skills
  • A current, unrestricted driver’s licence

As a condition of employment, we require a cleared WWCC and NDIS Worker Check (we’re happy to help you apply if needed).

THE PERKS

We know great admin staff are the glue that holds everything together, and we make sure you feel valued every day.

At Beam you will enjoy:

  • A supportive and genuinely caring team culture
  • Social events and team connection days
  • Opportunities to grow your role and contribute to projects beyond the front desk
  • Access to our Employee Assistance Program (EAP)
  • A close-knit team that truly supports one another
  • A manager who checks in regularly and genuinely has your back
