Barkuma is seeking an organised and customer-focused Administration and Reception Coordinator to join our Communications team and provide a welcoming experience for visitors, customers and staff.

About the Role:

Reporting to the Communications Manager, the Administration and Reception Coordinator is a 12-month fixed-term position responsible for providing a welcoming first point of contact for visitors, customers and staff at Barkuma’s South Terrace site.

The role is responsible for delivering excellent customer service, coordinating reception operations and providing administrative support to the Communications team and broader organisation. Working collaboratively as part of the Communications team, the position contributes to achieving organisational objectives and providing quality services to internal and external customers. This position also involves assisting people with disability offering support that can make a meaningful difference in their lives.

Key Responsibilities:

  • Provide a welcoming and professional first point of contact for customers, visitors and staff at the South Terrace site.
  • Manage reception operations, including visitor sign-in processes, contractor inductions, incoming enquiries, deliveries and general reception activities.
  • Triage incoming communications and maintain accurate communication records.
  • Maintain accurate records, registers and data across organisational systems.
  • Prepare documents and provide administrative support to the Executive Team and broader organisation.
  • Maintain efficient administrative systems, procedures and workflows to support business operations.
  • Ensure reception and office areas are clean, organised and professionally presented.
  • Collaborate with colleagues to support organisational priorities and service delivery.

About You:

You are an organised and approachable administration professional who enjoys supporting others and delivering excellent customer service.

You will bring:

  • Demonstrated experience in administration, reception or customer service roles.
  • Excellent customer service and interpersonal skills.
  • Excellent organisational skills with the ability to manage competing priorities.
  • Confidence using Microsoft Office and learning new systems.
  • Ability to work collaboratively and use initiative.
  • Commitment to confidentiality, professionalism and high-quality service delivery.
  • Strong verbal and written communication skills.
  • Experience in the disability, community services or not-for-profit sector is desirable.

Qualifications and Clearances:

  • Certificate III Business Administration (desirable)
  • Current NDIS Worker Screening or DHS Disability Clearance (or willingness to obtain).
  • NDIS Worker Orientation Module – Quality, Safety and You (or willingness to obtain).
  • Appropriate Infection Control Certificate (or willingness to obtain).

Special Conditions:

  • Work rights for Australia.
  • Current Australian Driver’s Licence. (restricted P2 licence and above)
