The Opportunity

The Policy Administration Officer provides high‑quality administrative and operational support to Anmac’s Policy and Research Service Unit. Reporting to the Director of Policy and Research, this role is central to the smooth day‑to‑day functioning of the team, supporting scheduling, records management, correspondence, financial administration and event coordination.

Key Responsibilities

1. Administrative Support

  • Prepare correspondence, reports, meeting papers and presentations to a high standard.
  • Coordinates and processes service agreements, ensuring documentation is accurate, compliant with organisational requirements, and completed within required timeframes. Liaises with internal stakeholders and external partners to facilitate approvals, track progress, and maintain effective records.
  • Manage and maintain accurate records and document management systems in line with organisational policy.
  • Process incoming and outgoing correspondence, including ministerial correspondence, according to established protocols.
  • Manage procurement and financial administration — raising purchase orders, processing invoices and reconciling expenditure within delegated authority.

2. Scheduling & Coordination

  • Manage team calendars, book meetings, arrange venues and coordinate travel and accommodation.
  • Prepare and distribute agendas, papers and minutes for internal and external meetings, working groups and committees.
  • Support logistics for events, consultations and workshops hosted by the Business Unit.
  • Monitor action registers and follow up on outstanding items.

3. Communication & Stakeholder Support

  • Act as a first point of contact for stakeholder enquiries — providing accurate, timely and professional responses.
  • Format documents and templates to a high standard of presentation.
  • Support the administration of consultation processes, including managing submissions registers and related correspondence.
  • Collaborate closely with the Policy & Research team, other business units, and Corporate Services at ANMAC to ensure a coordinated and consistent approach.

4. Continuous Improvement

  • Identify opportunities to improve administrative systems, processes and templates.
  • Ensure compliance with organisational policies on information management, record-keeping and privacy.
  • Provide flexible support to team members during peak periods.

About You

You are a reliable and detail‑focused administrator with strong organisational and communication skills. You are comfortable managing multiple priorities, working collaboratively with colleagues, and handling sensitive information with discretion. You bring a service‑oriented mindset and are motivated by contributing to meaningful work that supports public outcomes.

Qualifications and Experience

Essential:

  • Certificate III or above in Business Administration or a related field.
  • Demonstrated experience in an administrative or office support role, preferably within a government, health or education setting.
  • Demonstrated ability to effectively organise and coordinate travel arrangements and events, including scheduling, logistics, stakeholder liaison, and ensuring all activities are delivered efficiently, professionally, and within agreed timeframes.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, PowerPoint).
  • Strong written and verbal communication skills.
  • Proven ability to manage competing priorities and meet deadlines.
  • Experience maintaining records, databases and document management systems.

Desirable:

  • Familiarity with government records management systems (e.g. Diligent/Convene or similar).
  • Experience supporting committee, working group or consultation processes.
  • Knowledge of financial administration processes within the Australian Public Service.
