About the role
Permanent full-time | 1.0 FTE | Naarm (Melbourne CBD)
We’re looking for a highly organised and proactive Executive
Assistant to partner with our Executive Director, Finance & Technology,
supporting the Corporate Services portfolio. The role combines dedicated
executive support with end-to-end coordination of the Finance, Audit & Risk
Management (FARM) Committee and Board reporting cycle.
You’ll manage a dynamic diary and inbox, coordinate
communications, support governance processes, and act as a trusted partner to
senior leaders, Board and committee members, handling sensitive information
with discretion and professionalism.
What you’ll be doing
- Provide
executive support to the Executive Director, including diary and inbox
management, travel coordination, and briefing preparation
- Draft,
edit, and proofread correspondence, reports, and presentations on the
Executive Director’s behalf
- Coordinate
the full FARM Committee meeting cycle: agendas, papers, logistics,
minutes, and action follow-up
- Support
the preparation and submission of Board, MAC, and Corporate Services
portfolio papers
- Liaise
professionally with internal teams, committee members, and external
stakeholders
- Provide
broader administrative support across Corporate Services, including
project support, records management, onboarding, and departmental events
What you’ll bring
- Demonstrated
experience as an EA, PA, or senior administrative professional, ideally
supporting a senior leader
- Strong
organisational skills and the ability to manage a complex, dynamic diary
- Experience
in committee and governance administration, including agendas, meeting
papers, minutes, and action tracking
- Excellent
written communication skills, including correspondence, reports, and Board
or committee papers
- Proficiency
in Microsoft Office Suite and electronic filing/records systems
- Experience
in finance, technology, corporate services, not-for-profit, or
professional services settings highly regarded
