Amity Health are seeking a dedicated Program Services Specialist based in our Albany Head Office to join our Operations Team. Our Program Services Specialist provides high-quality
administrative, coordination and program support to our visiting specialists and their services. This position ensures the delivery of reliable program administration, timely processing of referrals, efficient coordination and scheduling of appointments all of which contribute to a positive client and specialist experience.
This position supports day-to-day operations and ensures smooth service delivery while working within established policies, procedures and decision-making frameworks.
About the Role
This is a meaningful opportunity to make a genuine difference as we support the needs of our community. As a diligent and effective administrator, you will:
- Coordinate the scheduling and logistics for visiting specialists according to established
rosters and service requirements.
- Liaise with specialists to confirm availability, clinic sessions, and administrative needs.
- Receive, review and process incoming referrals in line with organisational guidelines.
- Manage waiting lists and book appointments based on referral criteria, urgency and availability.
- Provide professional, client-centred support to individuals accessing specialist
services.
- Respond to enquiries related to specialist programs, referral pathways and preparation requirements.
This is a Full-Time Fixed Term Contract (12 Months) covering parental leave based in Albany, with some flexible work times required to support the daily running of our visiting specialists.
About You
You’re a skilled and efficient Administrator who has a high attention to detail and is service minded. You will bring:
- Experience in health administration, medical practice operations, or program support roles.
- Strong organisational and time-management skills, with the ability to follow established processes and prioritise tasks.
- High level of communication and interpersonal skills, with a commitment to client-centred service.
- Ability to interpret referral information and apply established criteria.
- Attention to detail and accuracy in data entry and record-keeping.
- Understanding of confidentiality, privacy obligations, and healthcare workflow requirements.
