Collective Trade Services (CTS), part of the Ambrose Construct Group, is looking for a Project Coordinator to join our growing Sunshine Coast team. This is a fantastic opportunity for someone with experience in scheduling, administration or operations who enjoys working closely with trades and delivering outstanding customer outcomes.
About the Role
As our Project Coordinator, you’ll play a vital role in coordinating trades across active insurance repair projects. You’ll manage schedules, monitor job progress, review timesheets and job deliverables, support invoicing, and ensure projects are delivered efficiently while meeting key performance targets.
No two days are the same, making this an ideal role for someone who enjoys problem-solving, working with multiple stakeholders, and keeping operations running smoothly.
What You’ll Be Doing
- Coordinate daily and weekly schedules for trades across multiple projects
- Allocate jobs based on availability, location, urgency and skillset
- Monitor project progress and proactively adjust schedules when required
- Liaise with trades, clients and internal teams to ensure seamless project delivery
- Review and approve trade timesheets and completed job deliverables
- Prepare completed jobs for invoicing and help achieve weekly KPI targets
- Resolve scheduling and invoicing queries promptly and professionally
- Maintain accurate job records within company systems
- Support the CTS Manager with reporting, administration and operational planning
- Contribute to continuous improvement initiatives and process enhancements
About You
You’ll be someone who enjoys being the central point of coordination and can confidently manage multiple priorities while maintaining exceptional attention to detail.
You’ll ideally have:
- Experience in scheduling, project coordination, operations or administration
- Experience within the construction, trades, insurance repairs or service industry (highly regarded)
- Strong organisational and time management skills
- Excellent communication and relationship-building abilities
- High attention to detail and accuracy
- Experience using Microsoft Office, particularly Outlook, Word and Excel
- Confidence working with scheduling software or job management systems
- The ability to prioritise competing deadlines in a fast-paced environment
- A proactive, solutions-focused approach and positive team attitude
