Due to continued growth across our Recruitment, HR Consulting and Learning and Development teams, Allan Hall HR is looking for a proactive and highly organised Operations Coordinator to join our Operations Team. This is a hands‑on role where you’ll help improve efficiency, support our teams, and enhance both employee and client experience across the business.
This role is open to early‑career candidates, as well as those with more experience who enjoy being close to the detail and making things run smoothly. In this role, you will be trusted to take ownership, spot opportunities for improvement, and help shape how we work.
What You’ll Be Doing
Working closely with senior team members, you will support the smooth running of the business as well as future business success and innovation. Your role will include:
- Providing day‑to‑day support across business systems including JobAdder, HubSpot, WorkflowMax, Employment Hero, Aircall and Xero.
- Troubleshooting system and process issues and working with our external IT provider to resolve technical matters.
- Supporting office operations, including meeting rooms, technology and facilities.
- Recording, documenting and maintaining business systems, processes and workflows.
- Managing data cleansing and coordinating reporting and insights across out teams.
- Identifying inefficiencies and recommending automations and improvements to systems, processes and tools.
- Researching new technologies and best‑practice approaches to support business performance and improvement.
- Coordinating onboarding and offboarding across tools and systems.
You will be supported and trained – curiosity, willingness to learn and attention to detail matter more than knowing everything on day one.
What You’ll Bring
You’ll thrive in this role if you’re organised, curious and enjoy working behind the scenes to make teams more effective. You’ll bring:
- Previous experience in an office, admin, operations or professional services environment with a strong interest in systems and business support.
- Confidence across systems and applications, in particular all Microsoft 365 tools.
- Experience or aptitude with AI enabled tools (eg, HubSpot, Copilot / ChatGPT, JobAdder, Power BI).
- A high level of attention to detail and a natural ability to spot issues and improvement opportunities.
- A solutions‑focused, proactive and positive approach.
- The ability to juggle multiple tasks and priorities.
- A collaborative, team-first approach and clear communication skills.
- Full Australian working rights (sponsorship is not available for this role).
