Description

POSITION: Volunteer Program Coordinator

LOCATION: Adelaide SA

EMPLOYMENT: Full time – Seasonal (26 October 2026 – 2 April 2027)

SALARY: $65k + 12% Super

Summary:

Reporting to the Events, Production & Volunteer Lead the Volunteer Program Coordinator is responsible for coordinating the Adelaide Fringe Volunteer Program, ensuring volunteers are recruited, onboarded, trained, scheduled and supported throughout the festival season.

Working collaboratively across the organisation, the Volunteer Program Coordinator partners with internal teams to identify volunteer opportunities, coordinate volunteer rostering and provide ongoing support to volunteers before, during and after the festival. This role is key to fostering a positive, inclusive and engaging volunteer experience while ensuring volunteers are well prepared to support the successful delivery of Adelaide Fringe.

Due to the operational nature of the role, flexibility is required to work evenings and weekends during the festival period as part of a seven-day roster.

Responsibilities:

Volunteer Program Coordination

  • Coordinate the recruitment, onboarding, induction, training and scheduling of Adelaide Fringe volunteers.
  • Coordinate the deployment of volunteers across Adelaide Fringe events, activations and festival operations.
  • Build positive relationships with volunteers, fostering a welcoming, inclusive and supportive volunteer experience.
  • Coordinate Volunteer Program Interns, providing day-to-day guidance and support.
  • Attend Adelaide Fringe-managed events that require volunteer support, providing on-the-day briefings, coordinating volunteer activities and ensuring volunteers are well supported to deliver a positive festival experience.
  • Liaise with venues, artists, contractors and other stakeholders to coordinate volunteer placements where required.
  • Coordinate volunteer communications, ensuring volunteers receive timely and accurate information throughout the festival lifecycle.
  • Coordinate the planning and delivery of key volunteer initiatives, including Volunteer Induction and the End of Season Celebration.
  • Support the implementation of Adelaide Fringe’s diversity, inclusion and accessibility initiatives within the Volunteer Program.

Administration & Operations

  • Maintain accurate volunteer records, role descriptions and resources within the volunteer management system.
  • Prepare volunteer rosters and coordinate shift allocations to support festival operations.
  • Administer volunteer benefits and recognition initiatives.
  • Monitor volunteer attendance and respond to operational changes throughout the festival.
  • Assist with reporting, program evaluation and the continuous improvement of volunteer processes and systems.
  • Ensure all volunteer activities are delivered in accordance with Adelaide Fringe policies, procedures and Workplace Health & Safety requirements.

Essential Criteria

  • Demonstrated experience coordinating volunteers, staff or teams, preferably within the events, arts, community or not-for-profit sector.
  • Experience coordinating multiple projects or programs simultaneously and meeting deadlines in a fast-paced environment.
  • Excellent organisational and administrative skills, with strong attention to detail.
  • Experience developing and maintaining schedules or rosters.
  • Strong written and verbal communication skills, with the ability to engage effectively with a diverse range of stakeholders.
  • Demonstrated ability to build positive relationships and provide excellent customer service.
  • Experience using volunteer management, CRM or rostering systems, with confidence using Microsoft Office and/or Google Workspace.
  • Demonstrated ability to problem solve, exercise initiative and adapt to changing priorities.
  • Ability to work collaboratively as part of a team while also working independently.
  • Availability to work flexible hours, including evenings and weekends, during the Adelaide Fringe festival period.
