The Gig
Ace Hotel Sydney is looking for a detail driven and guest focused Groups & Reservations Supervisor to support the daily operations of our Reservations team. Sitting between leadership and hands-on operations, this role is perfect for someone who enjoys balancing guest communication, team support, and the coordination of group bookings within a fast-paced, luxury hotel environment.
Working closely with the Reservations Manager, you’ll oversee daily reservations activity, manage group and corporate bookings from enquiry through to arrival and final billing, ensuring all guest details are communicated seamlessly across departments. You’ll coordinate room blocks, billing instructions, rooming lists, VIP requests, and operational logistics while supporting occupancy and revenue performance through effective inventory management and upselling opportunities.
You’ll also play an important role in supporting and mentoring junior team members, leading by example with warm, efficient service and strong attention to detail. From handling complex reservations and guest concerns to supporting cross-departmental collaboration with Front Office, Revenue, Sales, and Events, this role is central to creating smooth and memorable guest experiences from the very first interaction.
This role operates across a Tuesday to Saturday roster, working five days per week in line with business demands.
About You
You’re highly organised, proactive, and thrive in a high-energy work environment. With previous experience in hotel reservations or group coordination, you understand the importance of accuracy, time management, and clear communication in delivering exceptional guest experiences.
You’re confident managing multiple priorities at once, solving problems calmly under pressure, and building strong working relationships across teams. A natural team player, you enjoy supporting and mentoring others while maintaining a hands-on approach to your own workload.
You also have:
- Previous experience in Reservations, Groups, or Front Office operations within a hotel environment
- Strong understanding of PMS systems, room inventory management, and group coordination processes
- Excellent communication and guest service skills with a warm and professional approach
- Strong organisational skills and attention to detail
- Confidence working across multiple systems and Google Workspace applications
- A proactive mindset with the ability to identify opportunities to improve guest experience and revenue performance
- The ability to work independently while contributing positively to a collaborative team culture
- Flexibility to adapt to operational needs in a dynamic hotel environment
- Unlimited working rights are a requirement for the successful execution of this role
