In these workshops, you’ll learn ways to configure your Recruitment Settings to best suit your organisation . We’ll discuss Recruitment Integrations and show you what it looks when you post your first job advertisement. 

Step-by-Step Guide

This workshop provides an introduction to the Recruitment feature on Employment Hero.

 

In this workshop, we’ll cover:

  • The Benefits of using Recruitment Module

Increased Reach: By connecting and posting open roles to Employment Hero’s job board, as well as our integrated job boards, you can expand your reach and attract a larger pool of potential candidates, increasing the chances of finding the best fit for your organisation.

 

Candidate Management:  Employment Hero eliminates the need for manual tracking and ensures that all candidate information is organised and easily accessible in one place, saving time and effort.

 

Collaboration: The Recruitment feature allows you to allocate hiring managers and collaborators within your organisation. This enables collaborative hiring efforts, distributing tasks among team members and making the process more efficient.

 

Simplified Scheduling and Communications: Employment Hero gives you the ability to schedule interviews with potential candidates through calendar tools like Calendly, Outlook, or Gmail streamlines the process and saves time. 

 

Talent Pools: Shortlisting candidates and building talent pools for future recruitment is beneficial when you have multiple suitable candidates for a role but can only hire one. It allows you to nurture the talent pool and quickly attract a new employee when needed, which is particularly useful in high turnover or casual staffing situations.

 

Streamlined Onboarding:  Direct seamless onboarding from the ATS for successfully hired candidates saves effort and time. All the documentation and candidate information being pre-populated into the system makes the onboarding process smoother and more efficient.

The Hiring Processes allows you to create an event flow that meets your organisation’s needs.  

 

Start by mapping out what stages your applicants would go through after submitting a job application. 

 

Add a Hiring Process by selecting:

 

  • Recruitment
  • Hiring Process
  • New Process
  • Name your new process
  • Select New Stage to add a hiring stage
  • Select (X) to remove an existing hiring stage

 

The platform will auto-save any of the changes you make during this process.

Employment Hero allows you to connect to a wide range of job board providers, allowing you to tailor where you post your job opening based on the role requirements. 

 

You will be faced with a list of external job boards that integrate with Employment Hero when you select:

 

  • Recruitment
  • Job Boards
  • To connect to a job board, select connect.

Create custom experience levels that are tailored to your organisation. You have the flexibility to remove or add options to the pre-filled list, so it aligns with the specific terminology used in your organisation.

 

Candidates will not see these tags when applying for jobs.

Create custom candidate sources that are tailored to your organisation. While Employment Hero automatically adds sources when an applicant applies through an integrated job board, you may have candidates added through employee referrals or recruiters.

On this page you will also have the opportunity to opt into Messaging Settings. The direct messaging feature allows you to communicate with job applicants with the Swag App in real-time, allowing instantaneous communication with job applicants and reducing your time-to-hire.

The Email Templates feature allows you to create your own recruitment email templates that you can send out to your candidates.

 

To add a template, select: 

 

  • Settings
  • Recruitment Settings
  • Email Templates
  • Add a Template
    • Complete the template name/subject/body
    • Use the formatting options in the top bar
  • Save

 

The Evaluation Templates feature allows you to create your own candidate evaluation templates to objectively evaluate candidates and compare them against specific criteria. 

 

To create an evaluation template, select:

 

  • Settings
  • Recruitment Settings
  • Evaluation Templates
  • Add a Template
  • Complete Template Name and Questions
  • Save

 

The Screening Questions Templates feature allows you to create your own screening question templates that are automatically sent to a candidate. The screening questions are sent to a candidate via email after they have submitted their application.

The Candidate Tag feature allows you to create your own tags that you can apply to a candidates profile, for example, to mark that they have an industry specific certification or are based in a specific location. 

 

Creating tags will help you filter your talent pool to easily find applicants again in the future.

Step-by-Step Guide

To get started posting your first job, select:

 

  • Recruitment
  • Add New Job

When completing Job Details, you’ll be prompted to complete:

 

  • Job Title
  • Industry
  • Team
  • Country
  • City
  • Job Type
  • Employee Working Hours
  • Experience
  • Available Positions
  • Workplace Type
  • Job Description
  • Salary
  • Recruitment Email

Screening questions are sent to candidates via email after they have applied for a role. When a candidate completes these questions, their answers will populate in their profile.

 

You can choose from a previously created template or add your own now by selecting:

 

  • Add a Question

Use the drop down menu to select the appropriate hiring process if you have created more than one.

 

You can choose to add evaluation questions or ratings for each stage of your hiring process ad-hoc or from a template you have created.

Choose if you would like to post your advertisement to public job boards. Some job boards will need you to fill in more information specific to that job board.

Selecting a Hiring Manager will allow them to edit the job details and manage candidate applications from start to finish.

 

Use the drop down menu to select the appropriate team members.

 

If you have other team members who will be collaborating throughout the process, the next step will allow you to select which team members and what stage you would like them to have visibility of the candidate.

Select the advertised role to see your applicants. Candidates who have newly applied will be in the New section. In the candidate information, you will find their contact details and CV. The text box at the bottom of the page will allow you to write notes and tag internal team members.

 

If the applicant has completed their screening questions, select the Screening Questions tab to review.

 

Select Move To in order to move the application through your hiring process when appropriate to do so. You can take actions in bulk by selecting Select All and Bulk Actions.

 

 

The email integration feature allows you to connect the recruitment module to your Gmail or Microsoft Outlook e-mail account and send candidate emails directly from the HR platform.

 

Once you have your first candidate, you can connect your email by selecting the envelope icon in the top right corner of a candidate profile.

The Calendly Integration feature allows you to connect the recruitment module to your Calendly account and schedule candidate interviews directly from your HR platform.

 

Once you have connected your e-mail, you will be able to connect to your Calendly account by selecting the Calendly Icon.

Employment Hero allows you to create a talent pool where you can store the details of previous applicants, referrals or individuals you’ve connected with through networking.

 

If a candidate has applied for a previous role and their information is already stored in your platform:

  • Find their candidate file
  • Select the three dots in the top corner
  • select Add to Talent Pool

 

If you need to add a new applicant, select:

  • Add New Candidate
  • If you don’t have their CV on file, you can create their file and add their CV later

Once you have found the perfect candidate, you can onboard them by selecting:

 

 

The following information will be imported from the employees candidate file:

 

  • Name
  • Email
  • Phone Number
  • Up to 3 file attachments

FAQs

No, setup mode stops all emails generating from the platform. Ensure you have setup mode switched off before attempting to connect with candidates.

Yes. By default, only admins will have access to Recruitment. You can grant any employee in your organisation the permission to access the Recruitment feature by creating a Custom Security Setting.

No. Employment Hero can only push job advertisements through to job boards when integrated. It cannot import job advertisements that have been posted directly to the job board.
