Assistant Accountant – Finance

Location

  • Maroochydore, QLD
  • On-site only; remote work is not available

Hours

  • Full-time
  • 38 hours per week

Reporting Lines

  • Reports to the Chief Financial Officer for all finance and payroll-related matters
  • Functional reporting to the Chief Operating Officer for onboarding, offboarding, and asset management

Role Purpose

This role supports the financial and operational integrity of Xestro by maintaining highly accurate records, enforcing process discipline, and identifying discrepancies early.

The position suits someone who is detail-oriented, methodical, and comfortable working with numbers, reconciliations, and structured processes.

Key Responsibilities

Finance Support

  • Prepare and maintain accurate financial records and reconciliations
  • Assist with accounts payable, including invoice collection, coding, and preparation for approval
  • Chase missing receipts and ensure all transactions are properly documented
  • Support month-end close, including prepayments, accruals, and reconciliations
  • Assist with statutory obligations, including BAS and IAS lodgements.
  • Support continuous improvement and optimisation of accounting systems and processes.
  • Collaborate with internal teams and support the Chief Financial Officer as required

Payroll and Human Resources Administration

  • Assist with payroll preparation and administration using Employment Hero
  • Maintain employee records relating to payroll and onboarding and offboarding
  • Support payroll reporting and reconciliation as directed by the Chief Financial Officer

Payments, Expenses, and Travel

  • Manage company expenses and card transactions
  • Arrange staff travel, including flights, accommodation, and ground transport
  • Ensure all travel receipts are captured and reconciled

Systems and Tools

  • Sage Intacct: transaction preparation, reconciliations, reporting support
  • Employment Hero: human resources and payroll
  • Microsoft Office and Teams: documentation and collaboration
  • HubSpot: sales and client administration
  • Trello and Jira: task and project management

Person Specification

Essential Attributes

  • Exceptional attention to detail and accuracy
  • Strong numerical ability and ability to identify inconsistencies
  • Preference for structured processes, checklists, and clear rules
  • Ability to work independently on repetitive, accuracy-critical tasks
  • Reliable, discreet, and able to handle confidential information

Experience and Background

  • Minimum 2 years’ experience in an accounts or finance support role is essential.

Qualifications

  • Completed or partially completed Bachelor of Accounting, or similar
  • Proficiency in Microsoft Excel, including pivot tables and VLOOKUPs.
