About the role:

This position is responsible for providing high level professional and confidential executive support to the Chief Operating Officer and Executive Lead of Business Development.

The Executive Support Officer is supervised by the Chief Operating Officer, the position has the supervisory responsibilities of the Executive Support Administration Officer.

This position works closely with the Executive Officer, the Executive Leadership Committee (ELC), and at times the Board of Directors and Senior Leaders within the organisation to ensure the smooth executive management operations of the organisation.

The position is required to have a strong internal and external customer focus and attitude in pursuit of Blak excellence.

Key responsibilities:

  1. Provide high level professional and confidential executive support to the Chief Operating Officer and Executive Lead of Business Development.
  2. Support the Executive Leadership Committee and individual members to ensure a positive and responsive engagement with internal and external stakeholders, including the management of organisational email accounts.
  3. Provide forward planning, coordination and communication in support of efficient time management, including diary support for executives, with contemporary assistance to ensure a balance of maximum outputs and work life balance for the ELC.
  4. Implement and maintain the required records management system that supports the day-to-day business of the Executive Leadership Committee and maintain the confidence of the ELC in handling confidential material.
  5. Supervise and provide support to the Executive Support Administration Officer.
  6. Coordinate and organise business travel for the Executive Members, as required.
  7. Efficiently prepare, collate and distribute confidential documentation, independently and/or in consultation with Executive Officer or Leaders, including correspondence, meeting itineraries, agendas, minutes, action lists, briefing papers, and background research.
  8. Undertake discrete projects and business assignments, applying project planning principles and practices in support of business objectives.
  9. Work within Wuchopperen’s Policies and Procedures including the Code of Conduct and the Workplace Health and Safety requirements and instructions and advise of any concerns about safe, effective service delivery in the workplace.
  10. Contribute to continuous improvement processes and participate in quality assurance activities to ensure compliance with relevant standards and safe, effective service delivery.
  11. Other duties as required, within your skills, experience and capacity.

  • Working knowledge and understanding of Aboriginal and Torres Strait Islander societies and cultures from a historical and contemporary perspective, and the ability to communicate confidently, effectively and sensitively with Aboriginal and Torres Strait Islander people.
  • Ability to innovatively solve problems, develop and implement solutions and use initiative, with a blak excellence mindset.
  • Demonstrated high level of communication skills including the ability liaise and coordinate across a wide range of people and stakeholders; from community members to Board members to Elders and senior officers, and Ministers of Government.
  • Demonstrated ability to work to a high individual standard and contribute to positive team outcomes, through the effective planning and prioritisation to ensure the Executive Leadership Committee and organisational goals are met.
  • Demonstrated ability to meet and work within the core values and behaviours of Wuchopperen.

Qualifications and experience:

Demonstrated experience in a similar role, with qualifications in Business Administration, Public Policy, Business Management, Project Management or similar, highly regarded.

Requirements:

  • Hold a current Blue Card (for suitability to work with children and young people).
  • Proof of qualifications is required to be provided prior to the commencement of duty.
  • Possess a current driver’s licence.
  • A commitment to adhere to Wuchopperen’s policies and procedures.
  • Undergo and Child Safety and Personal History Screening Check
