THE OPPORTUNITY
We have an exciting opportunity for an Administration Support Officer to join our Operations team at Western Sydney Migrant Resource Centre.
This role plays a central part in keeping our organisation running smoothly. As the first point of contact for clients, visitors, staff and external stakeholders, you will provide professional front‑of‑house reception and high‑quality administrative support across multiple programs. You will also coordinate intake and referrals, manage appointments and bookings, and ensure client and program data is accurate, current and well‑maintained.
The Administration Support Officer supports a diverse range of newly arrived migrants, refugees and culturally diverse community members, helping them access the right supports at the right time. Your work directly contributes to effective and timely service delivery, positive client experiences, and strong operational systems.
This role sits within the Operations Team and works closely with program staff across the organisation. It is ideal for someone who enjoys variety, takes pride in excellence, and is motivated by making a tangible difference in a community‑focused environment.
This position is classified under the SCHADS Award (Social and Community Services Employee – Level 3*).
THE RESPONSIBILITIES
- Coordinate and triage new intakes, allocating referrals to appropriate staff
- Maintain accurate data entry, referral lists and client records to minimise backlog
- Provide administrative and data support to a range of program areas as required
- Oversee meeting room, vehicle and facility bookings and maintain booking systems
- Maintain electronic and physical records in line with organisational policies and procedures
- Support effective filing, document management and database upkeep
- Work collaboratively with staff and volunteers to support service delivery and operations
- Coordinate front‑of‑office reception services, including greeting visitors and handling enquiries professionally
- Answer incoming calls, manage messages and respond to enquiries in a timely and courteous manner
- Manage client appointments, intake enquiries and referrals across programs
ABOUT YOU
You will bring
- Strong data entry skills with high attention to detail and accuracy
- Proficiency in Microsoft Office 365 (Word, Excel, Outlook)
- Ability to manage multiple tasks, prioritise effectively and meet deadlines
- Strong interpersonal skills and ability to work respectfully with people from diverse cultural backgrounds
- Certificate III or IV in Business Administration, Community Services or a related field
- Demonstrated experience in an administration or front‑of‑office role
- Excellent customer service skills with a professional telephone manner
- Current National Police Check and NSW Working With Children Check (or willingness to obtain)
It would be great if you also have
- Bilingual skills in a community language
- Experience working in the not‑for‑profit or community services sector
