We’re looking for a highly organised Programs Team Assistant to help keep everything running smoothly behind the scenes.
This role is the engine room of our Programs team. Reporting to the Head of Programs, you’ll make sure rosters are ready, systems are tight and that our teams have what they need to deliver consistent and welcoming services to every visitor who walks through our doors.
About the role
You’ll be the go-to for coordination, keeping multiple parts aligned and on track, including:
- Building staff rosters across programs, managing leave, shift changes and coverage gaps
- Keeping documentation, templates and records accurate and up to date
- Supporting reporting, data integrity and filing systems
- Coordinating meetings, events and logistics
- Maintaining our program’s intranet page and ensuring resources are up to date and easy to access.
- Coordinating expenses and invoices
- Supporting purchasing, stock checks and resource tracking
- Championing safe ways of working and supporting risk assessments, area inspections and other WHS requirements.
About you
You’re someone who thrives in a purpose-driven environment and loves bringing order to complexity.
- Highly organised with strong attention to detail
- Able to manage competing priorities
- Confident communicator who builds strong relationships across the organisation
- Strong working knowledge of Microsoft Office
Additionally, the following will be highly valued:
- Experience in community services or NFP environments
- Experience with rostering systems, in particular Employment Hero
- Understanding of the SCHADs award
