About Us:  We are a team of enthusiastic paediatric allied health professionals who are looking to expand our team. We provide Speech Pathology and Occupational Therapy for children aged 0 to 16 years. We’re passionate about building strong relationships with families to achieve the best possible outcomes. Position Overview:  We’re looking for a friendly, proactive, and organised Allied Health Administrative Assistant to support our Glenroy clinic. This is a permanent, part-time opportunity, and we’re happy to offer flexibility with working hours to suit the right person.

You can choose between:

  • 2 days per week, 8:30am – 4:30pm, or
  • 3 days per week, 9:30am – 3:00pm

Key Responsibilities: 

  • Managing appointment bookings and scheduling for therapists. 
  • Answering phone calls, email and solving client queries providing exceptional customer service. 
  • Maintaining accurate client files and documentation. Making sure all service agreements have been signed.  
  • Processing batch invoices post appointments. 
  • Assisting with general office administrative tasks as required. 
  • Ensuring all clinic processes comply with applicable laws and NDIA guidelines.  
  • Maintaining a clean and tidy clinic and upkeeping all safety regulations.  
  • Provide administrative support to management and therapists e.g. monitoring office supplies or booking of therapy rooms. 

Essential Criteria: 

  • Previous experience in a healthcare administrative role. 
  • Proficiency in Microsoft Office Suite and SharePoint. 
  • Strong organisational and time management skills. 
  • Excellent communication and interpersonal abilities. 
  • Confident in managing sensitive or challenging conversations with clients and therapists in a professional, respectful manner 
  • Ability to work collaboratively in a team, as well as independently.   
  • Current Working with Children Check and Police Check 

Desirable Criteria: 

  • Experience with CRM software (e.g., Splose). 
  • Knowledge of NDIS, Medicare and Neuro-affirming approaches
