The Shepherd Centre (TSC) is a highly regarded not-for-profit, providing specialised programs for children with hearing loss and their families. Our programs meet the needs of children of all ages; from our world-leading early intervention program for babies and toddlers, through to our mentoring program ‘Hear for You’ for school-aged children and teenagers. TSC currently supports over 900 families all over Australia, providing in-person and online support from 10 locations across NSW, ACT, Queensland and Tasmania. Our global platform HearHub, supports health professionals working with children with hearing loss all over the world.
About the role
The Clinical Services Coordinator plays a pivotal role in supporting Audiology services and the Director of Clinical Programs across The Shepherd Centre. This position combines high-level administrative and executive support with hands-on operational coordination to ensure the smooth delivery of safe, timely and high-quality hearing services for children and families.
Working within a multidisciplinary clinical environment, you will help ensure seamless client scheduling, accurate data and documentation management, efficient clinic flow and an exceptional client experience. You will act as a key point of contact for families, clinicians and external stakeholders, supporting audiology workflows and maintaining clinical systems and processes.
In addition to operational coordination, you will provide confidential and professional executive support to the Director of Clinical Programs and the broader Clinical Executive Team, enabling effective leadership and decision-making across the organisation.
This is a permanent full-time (38 hours per week) opportunity. Actual working days can be negotiated with the successful candidate.
Day to day, you will be involved in tasks such as:
- Executive coordination and administrative support to the Director of Clinical Programs, including diary, email and correspondence management
- Prepare professional documentation, reports, letters and presentations
- Coordinate travel, accommodation and conference arrangements for the Clinical Executive Team
- Take accurate minutes and provide meeting support across clinical, stakeholder and research forums
- Manage audiology appointment bookings, confirmations, cancellations and waitlists
- Act as a primary point of contact for audiology enquiries from families, ENTs, Hearing Australia and other stakeholders
- Support clinical data entry, documentation management and system accuracy
- Assist with audiology equipment tracking and workflow coordination
- Provide administrative support to clinical staff and contribute to reception coverage as required
About You
The successful candidate for this role will ideally have:
- Previous experience in an administrative or client service role, preferably within the healthcare or allied health sector
- Strong organisational and scheduling skills, with high attention to detail
- Excellent communication and customer service skills
- Excellent working knowledge in Microsoft Office products (Word, Excel, Outlook, PowerPoint) and ability to use the Internet to obtain data and reference material
- Competent in digital systems and databases (e.g., appointment scheduling, CRM, PracSuite or similar).
- Strong adherence to privacy and confidentiality
- Customer service oriented
- Ability to work with competing demands under sometimes tight deadlines
- Ability to think flexibly, with innovation and resourcefulness in context of a NFP
- Ability to work collaboratively within a multidisciplinary team.
- Willingness to obtain a Working with Children and NDIS Worker Check
- Full working rights to work in Australia
