The role:

The Operations & Communications Coordinator plays a vital role in ensuring the smooth operation of administrative functions and effective communication within the organisation. Based in St Marys, this position is essential for supporting the team in achieving operational excellence and fostering a collaborative work environment. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills to enhance internal and external engagement.

Responsibilities:

  • Assist General Manager with providing direction, support and communication to the Company.
  • Assist with employee/HR administration, including onboarding, offboarding, induction paperwork, employee files and Employment Hero updates.
  • Liaise with external providers, including external HR support, IT, Insurance, other consultants as required.
  • Coordinate pre-employment requirements such as medicals, police checks and other new starter documentation.
  • Help maintain training, compliance and WHS records, including booking training and following up missing or expired documents.
  • Coordinate IT support requests, user access, equipment, phones, internet and related administration.
  • Assist Senior Sales personnel in preparing professional, accurate tender submissions
  • Support the day-to-day running of the office, including correspondence, records, registers and general administration.
  • Maintain internal documents, trackers, process records and company registers.
  • Maintain fleet and vehicle records, including registration, servicing, insurance, lease and provider information.
  • Assist with office facilities, landlord queries, office supplies, company events and staff activities.

About you

  • Highly organised, reliable and detail-focused.
  • Confident using email, spreadsheets, Microsoft Office and online systems.
  • Accurate with data entry, records and document management.
  • Comfortable following checklists, processes and deadlines.
  • Able to manage competing priorities and follow tasks through to completion.
  • Professional and discreet when handling confidential information.
  • A clear communicator who can liaise with staff, suppliers and external providers.
  • Practical, helpful and willing to take ownership of administration tasks.
  • Experience in office administration, operations administration, employee administration, onboarding, compliance administration or similar would be highly regarded.
  • Experience using Employment Hero or another employee records system would be advantageous, but is not essential.

This is a full-time role; however, we would be open to part-time school hours for the right candidate. We offer flexible start and finish times, the opportunity to work closer to home from our St Marys location, and a varied role with plenty of day-to-day diversity.
